Overview:

Job Type : Full-time year-round

Position Level : Entry Level

Schedule Requirments : Ability to work various shifts and days including nights, weeknds, and holidays to meet business needs.

Under limited supervision, the Division Admin Assistant will keep accurate records daily, file documents both on paper and electronically, and assist the maintenance team. Must demonstrate the ability to prioritize a large flow of tasks and delegate the responsibilities to the appropriate party.

Responsibilities:
  • Inputs requisitions in JDE for Maintenance, Operations and Loss Prevention Divisions. Maintains files of all requisitions and purchase orders for these divisions.
  • Processes invoices and payroll for Maintenance Division.
  • Obtains authorization to pay from managers.
  • Works with Human Resources to ensure open positions are posted correctly.
  • Interviews potential hires and selects new seasonal hires for crews.
  • Handles all paperwork on seasonal associates to include: maintaining training records, transfers, and terminations
  • Assist with the planning, set up and execution of division activities to include: Maintenance Appreciation Week, Pop-up day of events, grill days for division, birthday cards and holiday cards.
  • Completes weekly uptime reporting for General Manager each week.
Qualifications:
  • High school diploma, GED, or equivalent.
  • Must be at least 18 years of age.
  • Obtain Notary Certification within 1st year of employment.
  • Ability to demonstrate excellent computer skills with emphasis on Microsoft Word and Microsoft Excel.
  • Ability to demonstrate excellent communications skills, both verbal and written.
  • Ability to communicate will all levels of associates within the company, vendors, and government agencies in a professional manner.
