Job Description

Reporting to the Communications and Public Relations Manager, the incumbent is responsible for drafting original editorial content and providing support for print publications, facilitating departmental workflow, and ensuring quality control of data and materials. The incumbent contributes to communications projects to engage new audiences, raise the Institute's profile, communicate the relevance of foundational research, develop informational resources for scholars, journalists, thought leaders, and the general public, and deepen engagement and connections within the IAS community.
Essential Job Duties
Original content generation (20%)

  • Conceive, write, and edit original long- and short-form copy about IAS research, scholars, and history for digital and print outlets, including the website and/or Institute Letter.
  • Produce and launch e-mail campaigns, including the monthly digital newsletter, to engage and inform internal and external audiences about the IAS mission and scholar research
  • Support the production and evolution of Institute print publications.
Internal communications (10%)
  • Collaborate with IAS researchers and other Institute departments to generate wide-ranging content that represents the variety of scholarship and other related activities that occur on campus.
  • Develop a fluency in the voice and vision of the IAS Director and institutional values.
  • Research, write, and prepare remarks, scripts, speeches, and talking points for key IAS stakeholders.
Editorial and media (50%)
  • Copyedit, fact-check, and proof written material, providing editorial support to Development, Events, and Schools as needed, to ensure accuracy and adherence to style guides.
  • Drafting, editing, packaging, and distributing content for the website, social media, and other print and digital publications, securing image and reprint permissions as needed.
  • Gather and format materials for The Institute Letter, Faculty and Members book, and other print/digital publications, review proofs, implement author and administrative changes, confer on design choices, and relay revisions to graphic designer.
  • Manage online and print production schedules and oversee printing, mailings, internal distribution, billing records, and archiving of inventory.
  • Track and analyze communications metrics for print and digital publications and incorporate findings for purposes of administrative and Board reports.
  • Provide day-to-day support for the Institute's website, updating Faculty and scholar bios and other changes as needed.
  • Assist with media relations work, including staffing press and film crew visits as needed, creating press releases, news coverage summaries, incoming scholar announcement templates, media kits, and fulfilling requests for printed materials and photos.
Administrative support (10%)
  • Provide support for the Board of Trustees meetings, gathering institutional metrics and drafting talking points for Trustees and IAS executive officers as needed
  • Provide administrative support for the department, including photocopying, ordering supplies, and maintaining and organizing departmental files and resources, including developing meeting agendas and updating databases and email lists as well as departmental calendars.
  • Coordinate outreach to vendors, including communication with graphic designers, external copyeditors, translation and transcription services, photographers, printers, and book publishers/vendors for obtaining books related to IAS.
  • Plan and schedule photography of academic and public events, securing all necessary permissions; take photos at IAS events as needed.
Supports the Communications and Public Relations Manager and all other duties as assigned (10%)
Requirements
Minimum Qualifications
  • Bachelor's Degree.
  • Two years of related experience.
  • Develop knowledge of foundational research and history of the Institute.
  • Prior editorial experience preferred with a solid knowledge of copyediting and fact checking.
  • Must demonstrate a willingness and ability to learn and retain new techniques/skills while meeting deadlines and maintaining high quality standards.
  • Proficient with social media platforms, including X, Facebook, Instagram, LinkedIn, and YouTube.
  • Strong office and software experience required, including familiarity with Word, Excel, Photoshop, PowerPoint, InDesign and/or Quark; proficiency on both PC and Mac,
  • Excellent written and verbal communication skills and strong attention to detail.
  • Ability to maintain a high degree of confidentiality in all matters related to the Director's office, the Institute's development and public affairs program, the Board of Trustees, and all matters requiring sensitivity and discretion.
  • Proven ability to prioritize and multitask while maintaining a high degree of accuracy and professionalism under tight deadlines.
  • Excellent organizational and interpersonal skills and ability to work productively as a team member.

  • Experience with databases and digital invitation/marketing platforms.
