Job Summary:
We are seeking a detail-oriented and organized Office Administrator to manage a variety of tasks related to office operations, reporting, marketing, and human resources. The ideal candidate will have excellent multitasking skills, a proactive approach to problem-solving, and the ability to effectively manage both routine and dynamic responsibilities.
Key Responsibilities:
1. Reporting and Data Management
- Pull and organize monthly, quarterly, and payroll period reports.
- Download, clean, and maintain data for review and analysis.
- Pull reports and upload emails and text messages for tracking and communication.
2. Band and Event Management
- Update Triple Seat with new band bookings and event information.
- Audit band marketing materials, contracts, and W-9 collections.
- Monitor and audit invoices from the SEO company and event platforms.
- Review band and dinner show websites daily and perform weekly audits.
- Track band payments and event deposits within Triple Seat.
3. Marketing and Social Media
- Conduct marketing audits, including spend analysis for bands and marketing campaigns.
- Maintain wedding-related social media accounts and schedule posts/content.
- Plan and execute bridal shows, including registration, staffing, and post-event email blasts.
- Prepare weekly text and email blasts for marketing purposes.
- Ensure promotional materials are stocked, purchased, and updated as needed.
4. Event and Guest Services
- Track cart maintenance and confirm TAIV (transaction systems) and printed band content are current.
- Be the live agent for IBM Watson chat while in the office.
- Handle walk-throughs daily to confirm event readiness.
- Process holiday refunds, canceled or moved events, and customer inquiries.
- Assist with seating plans, reports for band events, and refund processing.
- Manage gift card sales, emails, cancellations, and mailings.
- Act as the anchor hostess on holidays as needed.
5. Human Resources Support
- Manage new hire packets, onboarding, and training programs.
- Order uniforms, perform uniform checks, and assist with kitchen and training staff evaluations.
- Post job advertisements, schedule interviews, and assist with the hiring process.
- Support the creation and maintenance of employee documentation and testing.
Qualifications:
- Strong organizational and multitasking skills.
- Excellent attention to detail with the ability to audit and manage reports effectively.
- Proficiency in office software (e.g., Excel, Google Suite) and event management tools like Triple Seat.
- Experience in marketing, HR support, or event coordination is a plus.
- Strong communication skills, both written and verbal.
- Ability to work collaboratively in a fast-paced environment.
Work Environment:
- Office-based position with occasional event participation (e.g., bridal shows, holiday events).
- Requires adaptability to changing priorities and deadlines.
