Assistant Property Manager

LYNOUS Talent Management has been retained on an exclusive basis by a commercial property management company to recruit a Temporary to Permanent Assistant Property Manager to help the property management team manage a 6 building, about 500,000 SQFT, complex located in Urban Center of Las Colinas.
Our client is a smaller company but are continuously growing. Their Las Colinas office offers a friendly environment with a team of 4. This position is the center point of the office representing the company to client’s, visitors, and vendor partners. This is a wonderful opportunity for a strong Administrative Assistant looking for promotion opportunity to advance.
This is a wonderful opportunity for an experienced commercial real estate professional to earn income with a flexible arrangement, while gaining experience and potentially securing a long-term position. The hourly compensation is excellent for an Assistant Property Manager. This is an in-office position 20-40 hours a week and has some flexibility on selecting set hours.
POSITION
Our client is seeking an individual that has experience with general accounting principles, accounts payable and commercial property management, lease administration, strong work ethic, excellent verbal/written skills, strong customer service attitude and organizational skills plus, must have extensive MRI software data entry experience . The new team member will answer phones and other communications, undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently, will be responsible for accounts payable and accounts receivable for multiple office buildings. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The assistant property manager ensures smooth running of our management office.
RESPONSIBILITIES
• Answer phone with a smile and communicate with tenants plus maintain tenant contact list.
• Maintain work orders/service calls and access control list then distribute to appropriate management team members.
• Maintain training room reservations.
• Lease administrative duties such as preparing lease summaries, commencement letters, security deposits, rent roll updates, process move-in and move out plus prepare for prospective tenant tours.
• Update and maintain tenant handbook and emergency procedures then distribute to tenants and other team members.
• Accurately review, code, prepare allocation shares and enter invoices into MRI, confirm accuracy of session edits, ensure check copies match invoice then file.
• Log onto bank positive pay to approve check exceptions daily.
• Maintain current W-9 for all vendors and process 1099's at year-end.
• Prepare monthly tenant billbacks and prepare tenant billing. Accurately enter billing into MRI. Send
billing invoices/statements to tenants. • Enter accurate prepaid rent and other tenant credits into MRI.
• Review aged delinquency report and contact tenants for any outstanding payments due.
• Reconcile vendor statements, research, and correct discrepancies.
• Contact vendors with special requests, respond to all vendor inquiries plus bid out and prepare vendor contracts plus update vendor contact list no less than quarterly.
• Perform routine property inspections including janitorial, landscape, plus maintenance and liability concerns.
• Organize tenant events and property holiday decorations.
• Provide excellent customer service with a positive attitude and smile.
• Prepare correspondence on various matters of property management.
• Maintain and ensure accuracy of certificate of insurance for tenants, vendors, and properties.
• Maintain files and documentation (hard and soft copies) thoroughly and accurately, in accordance with company policy and accepted accounting practices.
• Organize and order office supplies for the management office.
• Maintain front office, kitchen, conference room, work room and storage in an organized and clean appearance including stocking refrigerator with water and copier with paper.
• Assist with monthly excel financial reports.
• Assist with tenant reconciliations and operation budget.
• Assist with other projects as needed.
QUALIFICATIONS
• High School Diploma; bachelor’s degree (preferable)
• 3-5+ years of accounts payable and property management administrative assistance experience.
• Proficient in MRI with extensive accounts payable/accounts receivable/commercial management data entry and excellent knowledge of accounting procedures.
• Excellent knowledge in Excel and Word – Outlook Email and Calendar, Internet plus Adobe
• Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures
• Ability to interact with tenants, employees and vendors in a professional manner
• Ability to work independently and with a team environment with emphasis on accuracy and timeliness
• Must have strong work ethics
• Must be well organized and a self-starter
• Detail oriented, professional attitude and appearance, reliable
• Ability to communicate effectively verbally and in writing
• Ability to be a team member and demonstrate initiative
