Job Description

Position Overview:

The Bookkeeping and Administrative Specialist is responsible for accurate bookkeeping and assisting with accounting processes to ensure the organization’s financial health and compliance with relevant regulations; Oversee office management and assist with onboarding new employees to include training schedules and other onboarding activities.


Key Responsibilities:

Bookkeeping:

  • Assist with daily financial transactions, including accounts payable and receivable, payroll
  • Maintain accurate and up-to-date transactions in QuickBooks and Centerbase.
  • Reconcile bank statements, credit card accounts, and other financial accounts.

Accounting Support:

  • Assist with preparing monthly, quarterly, and annual firm reports

Accounting and Tax Preparation:

  • Assisting estate administration team with client accountings
  • Assist attorneys with tax preparation for clients.

Compliance and Reporting:

  • Prepare and submit periodic financial reports to management.
  • Assist in audits by providing documentation and clarification as needed.

Office Management:

  • Oversee the day-to-day operations of the office to ensure functionality and efficiency.
  • Manage office budgets and track expenses.

Administrative Support:

  • Provide administrative assistance to firm administrator as required.
  • Prepare and manage correspondence, reports, and documents.

HR and Staff Coordination:

  • Assist with onboarding new employees, including orientation and training.
  • Maintain employee records and ensure compliance with HR policies.
  • Assist with team activities, events, and meetings.

Communication and Coordination:

  • Act as a point of contact for internal and external clients.
  • Develop and implement office procedures to improve efficiency.



Qualifications and Skills:

  • Proven experience as a Bookkeeper, Accounting Specialist, or similar role.
  • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.
  • Understanding of accounting principles and budgeting processes.
  • Excellent organizational and time-management skills.
  • High attention to detail and accuracy.
  • Strong problem-solving and analytical skills.



Education and Experience Requirements:

  • High school diploma or equivalent (required).
  • Associate’s or bachelor’s degree in Accounting, Finance, or a related field (preferred).
  • 2+ years of experience in bookkeeping or accounting roles.
