Title: T&E (Travel & Expense) and Credit Card Policy Manager

Location: San Jose, CA (5 days a week onsite)

Bill Rate/Pay Rate: TBD

Duration : 3-month contract

Day to Day:

Insight Global is searching for a T&E (Travel & Expense) and Credit Card Policy Manager to join Archer's finance team. This role is critical in ensuring that the company’s travel, expense, and credit card policies are implemented effectively, adhered to consistently, and aligned with industry best practices. The contractor will also serve as the primary liaison with credit card providers to address operational and strategic needs.

Key Responsibilities:

  1. T&E Policy Management:
  • Review, update, and maintain the company’s Travel & Expense policy to ensure compliance with organizational goals and regulatory requirements.
  • Educate employees on T&E policies and provide guidance on compliance-related issues.
  • Monitor T&E expense reports for adherence to policy and resolve escalations as needed.
  • Analyze trends in travel and expense data to identify opportunities for cost savings.
  • Work with employees and their managers to submit expense reports on time and review exceptions
  • Work with Travel provider and Travel Team to guide, improve and resolve any on the ground travel related issues
  1. Credit Card Policy Oversight:
  • Manage the company’s corporate credit card policy, ensuring alignment with company financial controls and employee needs.
  • Handle card issuance, cancellations, and account updates in collaboration with credit card providers.
  • Conduct periodic audits of corporate credit card usage to ensure compliance with company policies.
  1. Vendor Liaison:
  • Act as the primary point of contact for corporate credit card providers.
  • Negotiate terms, resolve disputes, and manage vendor relationships to ensure optimal service levels and cost efficiency.
  • Stay updated on credit card offerings, including rewards programs, fraud protection, and digital tools, to enhance program effectiveness.
  1. Reporting and Analytics:
  • Generate and analyze T&E and credit card program reports to monitor spending patterns, compliance, and policy effectiveness.
  • Prepare and present periodic updates to leadership on program performance and opportunities for improvement.

5. Process Improvement

  • Identify inefficiencies in the T&E and credit card management processes and propose solutions to enhance automation, reduce costs, and improve user experience.
  • Collaborate with cross-functional teams to implement policy and process changes.

Must Haves:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • 5+ years of experience in expense management, or a similar role.
  • Strong knowledge of T&E and corporate credit card policies, with experience managing vendor relationships.
  • Excellent analytical, organizational, and communication skills.
  • Proficiency in using expense management software (e.g., Concur, Navan, Expensify) and credit card management platforms.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
