Admin Assistant/Business Specialist


- Contract length: Approx. 5 months, covering maternity leave

- Location: Onsite in Clark, NJ

- Firm hourly rate: $28/hr

- Hours: Fulltime, M-F

- Contractor benefits available


Job Description:


Position Overview: This temporary role will support our client, a leading cosmetics brand, during maternity leave coverage in an administrative capacity. The candidate will assist in the organization of fragrance products, preparation of brand portfolios, and various administrative tasks. The role requires excellent communication and multitasking skills to work effectively with the team and across various departments.


Key Responsibilities:


Organization of Market Products:

  • Ensure all fragrance products are stored correctly after being used.
  • Monitor stock levels and notify the team if any products need to be repurchased.
  • Categorize and label products for easy identification and accessibility.


Brand Portfolio Creation:

  • Assist in generating competitive brand portfolios using PowerPoint and/or Excel.
  • Compile data on fragrance lines, sub-lines, and product names, and include relevant images.
  • Ensure the portfolios are up-to-date with the latest product offerings across various categories (Hair, Skin, Cleansers, Makeup, etc.).


Team Support:

  • Provide general administrative assistance to the fragrance team.
  • Respond to team requests and provide timely support.


Sample Preparation and Shipping:

  • Assist in the preparation of fragrance samples in the lab. (Training and guidance will be provided on how to make the samples).
  • Coordinate shipping of samples to vendors, internal teams, and other stakeholders as necessary.


Qualifications:

  • 2-4 years of prior administrative experience, preferably in a product or marketing-related role.
  • Proficiency in MS Office Suite (PowerPoint, Excel).
  • Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
  • Excellent communication skills, with the ability to collaborate with all levels within the organization.
  • Attention to detail and a proactive approach to managing tasks.
  • Experience in or familiarity with fragrance, beauty, or consumer products is a plus, but not required.
