Stabbert is currently looking for an Operations Coordinator.
The Operations Coordinator is responsible for effectively coordinating vessel operations and crewing processes to ensure the fleet is adequately manned and operational requirements are met. This role emphasizes a commitment to excellence and safety while managing human resources, vessel needs, client interactions, port calls, and crew requirements. The coordinator will anticipate future crewing needs to maintain safe and efficient vessel operations that fulfill client and charter contract obligations. Occasional travel to vessels for inspections or project management assistance may be required.
This is a full-time salary-based role that requires up to 10% travel. You must be able to work in the Seattle office Monday through Friday. Per vessel operations, some evenings and weekends will be required.

Essential functions:
· Support the Vessel Manager as required with the daily operations of two to three vessels.
· Facilitate communication among various departments to ensure operational efficiency.
· Anticipate and respond to vessel and crew’s daily needs.
· Identify problems as they arise within vessel operations, generate a list of possible solutions, and assist as directed in the implementation of the solution(s).
· Develop and maintain vessel schedules. Create a charter summary for each contract, including all major items.
· Coordinate vessel logistics, including port calls, pilots, parts through customs, agent coordination when visiting foreign countries, crew visas, notice of arrivals and departures, etc., as directed by the Vessel Manager.
· Serve as the primary point of contact between the vessel crew and shoreside team.
· Communicate with crew to continue building and supporting a culture of inclusivity and belonging through all communication mediums.
· Carry out crew rotations per schedule. Including booking travel, accommodations, and required testing.
· Complete crew contracts and ensure all documents and licenses are up to date prior to flying crew members to a vessel.
· Support crew recruiting as requested by the Human Resource team.
· Participate in the interview process for new crewmembers to ensure the selection of qualified candidates.
· Assist with the evaluation process of crewmembers to ensure ongoing performance and development.
· Work with HR to maintain the USCG drug testing program.
· Help with the new crewmember onboarding process by creating accounts in our travel and management system software (Egencia and Mobile Ops).
· Process crew bi-weekly payroll with accounting and HR.
· Monitor, track, and file vessel daily reports.
· Monitor renewals and expiration dates for onboard safety equipment, including fire extinguishers, life rafts, EPIRBS, etc., within the vessel’s onboard management system (MobileOps).
· Purchasing and logistics: Review vessel requisitions, track purchases when approved, and ensure delivery to the vessel.
· Participate in weekly vessel operations calls with Captains and weekly operations meetings.
· Liaison between ships, internal company departments, vendors, and clients.
· Assist with injury and illness claims as requested by the HR or HSE Department.
· Understand and support SMS (Safety Management Systems) onboard the vessels.
· Miscellaneous duties as assigned by the VP of Operations or Vessel Manager.
Minimum Requirements:
· Must have a US passport
· Must have 3-4 years of experience in administrative roles or operational roles
· Experience with operations or human resources
· Maritime or prior military experience preferred but not required
· Ability to connect and communicate with all levels
· Results-oriented, self-starter with a high level of initiative
· Strong ability to organize and communicate with others
· Strong work ethics, values, and principles
