ABOUT THE POSITION


Position Summary

The Director of Operations will play a pivotal role in driving efficiency, performance, and client satisfaction across multiple offerings. This individual is responsible for developing and maintaining an annual calendar for departmental objectives and task queues, managing accountability charts, scorecards, key performance initiatives, and departmental meetings, while overseeing dashboards and automated reporting systems. The Director of Operations will report to and help support Executive Leadership in strategic planning and performance management. Additional responsibilities include handling the department's budgeting and forecasting activities to align with organizational financial planning; owning all aspects of department's people, process and technology.


Key Responsibilities

  • Revenue generator productivity and workflow management
  • Establish and oversee a metrics-driven system to monitor and boost the productivity of all work groups, ensuring compliance with established performance standards
  • Core processes of matter plans, policies innovation, implementation and optimization
  • Establish and rigorously test core processes and policies to ensure they meet quality standards
  • Training program innovation, implementation and optimization
  • Project management and support
  • Manage and track strategic operational projects from inception to completion, maintain enterprise level project tracker, and ensure regular stakeholder meetings


Productivity and Performance Management

  • Analyze and support the performance management of legal services.
  • Evaluate paralegal productivity, task queue effectiveness, workflows, and task management processes.
  • Monitor user engagement and provide leadership with data-driven recommendations to improve matter management, tool utilization, and producer performance.
  • Oversee and evaluate paralegal and biller performance metrics, ensuring alignment with the firm’s standards and goals.
  • Optimize task queues, workflows, and engagement to enhance overall productivity.


Monitor Sales and Client Conversion

  • Collaborate with sales and marketing teams to execute strategies for promoting various legal services.
  • Track client acquisition metrics, including lead conversion rates, and identify improvement opportunities.


Oversight of Mail and File Clerk, Remote Legal Assistants and E-Discovery Document Specialist

  • Provide leadership and direction to Mail and File Clerks, Remote Legal Assistants and E-Discovery Document Specialist, ensuring adherence to firm standards and efficient operation.


Matter Management and Client Satisfaction

  • Key participant in oversight of matter plan execution, including monitoring individual and work group work queues, dashboards, analyzing productivity, monitoring client budgets and credit management, monitoring under contract input, matter data accuracy, monitoring accuracy and usage of matter-management tools, confirming achievement of mid-phase matter management, and ensuring accuracy of file organization.
  • Ensures adherence to firm standards in client communications, document handling, and use of internal resources, while maintaining and updating legal databases to support effective legal practice.
  • Vested stakeholder in achieving desired client satisfaction KPI's.


Revenue and Production: Achieve Individual Targets

  • Responsible for meeting individual revenue and production targets.
  • Monitors performance to ensure alignment with the firm's financial goals.


Oversight of Special Projects and Facilities Management

  • Act as liaison between the firm and the outsourced property management company, ensuring smooth communication and task execution.
  • Track and follow up on property management requests, maintenance schedules, and service quality.
  • Ensure timely resolution of facility-related issues to maintain a productive work environment.

Qualifications & Skills

  • Bachelor’s degree in business, management, or a related field (Master’s degree preferred)
  • Minimum 5 years of Legal Operations Management experience
  • Minimum 5 years of experience in direct partnership with accountability to executive leadership
  • Project management and change management experience
  • Proven experience in performance management, data analysis, and process optimization
  • Strong analytical and problem-solving skills with the ability to provide actionable insights
  • Direct supervisory or management experience of multiple departments and effective track record of managing teams
  • Proficiency in matter management tools, dashboards, and CRM systems
  • Must be comfortable working autonomously
  • Must be extremely organized and have excellent time management skills
  • Must have effective organizational and communication skills
