Job Description
Central Virginia Community College is located in Lynchburg, Virginia, in view of the Blue Ridge Mountains. CVCC is a comprehensive two-year institution of higher education with an enrollment of approximately 5,000 students in occupational/technical programs and university-parallel/college transfer programs.
Provide customer service to walk-in students, faculty, staff, and administrative support for the Office of Admissions and Records. Manage main phone line assisting with admission/enrollment questions and directing other calls to appropriate personnel.
Primary Duties:
1. Working hours: TBD. Available between the hours of 8 AM-5 PM M-F; occasional evenings until 7 PM during the start of the semester and during graduation. Occasional Saturdays 1-2 times a semester.
2. Provide front counter customer service in-person, and via email and telephone. Serve as the primary point of contact for the main telephone line assisting students with various questions regarding admission, enrollment, graduation, transcript requests, etc. Return voicemails and emails within 24 hours.
3. Assist with graduation application processing and ceremony preparations.
4. Work with various departments throughout the college assisting staff with enrollment services, roster questions, general information, etc. Update the Attendance Procedures and Syllabus Attachment documents each semester to inform faculty of key academic dates and deadlines for rosters and serve as the point of contact for faculty questions regarding rosters and student attendance.
5. Run queries using PeopleSoft, complete mail and email merges, and process letters using Microsoft Word.
6. Process all class rosters submitted by each division electronically, performing drops and/or withdrawals as indicated; keeping any email communications or paper rosters alphabetized and well organized by class section, and student records accurate.
7. Assist students with:
a. Enrolling and dropping courses
b. Printing class schedules
c. Explaining admission requirements
d. General questions about transcript requests, FERPA, etc.
e. Directing students to the appropriate person and/or department
f. Various processes available using their "My CVCC" account
8. Responsible for scanning/linking incoming forms and processed paperwork to keep student files up-to-date and complete.
Secondary/Shared Duties:
1. Scan, link, shred, and perform file maintenance
2. Assist with duties as assigned by Coordinator of Admissions and Records
3. Assist Admissions and Records staff with purging files yearly
4. Processing applications, transcript requests, curriculum placements, grade changes, name and address changes, FERPA requests, etc., as necessary
Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's/Required Qualifications
1. Prompt, courteous and professional customer service to students and staff.
2. Strong computer skills including typing at least 45 wpm with 95% accuracy.
3. Ability to work with minimum supervision in a busy office.
4. Proficient with the use of MS Word, Excel, and Outlook.
5. Ability to multi-task and maintain accurate records.
6. Strong organizational abilities including file maintenance.
7. Excellent written and oral communication skills.
8. Team oriented; ability to work well with others to accomplish common goals.
