Job Description

The Warehouse Manager is responsible for managing the logistical operations (including receipt, warehouse, and distribution), safekeeping, and distribution of goods across the organization. Their duties include ensuring proper maintenance of all systems used to control, manage, transact, and distribute all types of goods and services for different departments linked to manufacturing and distribution functions.


The Warehouse Manager is responsible for setting up warehouse design and layouts, ensuring efficient space utilization, and executing aging inventory reports and cycle counts to manage inventory accuracy and costs.


Due to the nature of the business, the warehouse manager has an integral role at Proficium. Managing staff, hiring, supervising, evaluating, and scheduling product deliveries is considered a small portion of the Manager’s duties and responsibilities.


Shipment coordination, maintaining a safe work environment, implementing procedures and strategies to increase productivity, and cost reduction are required for this critical role as all product runs through this department’s fingertips.


NOTE: This position requires the employee to work on-site 5 days a week and occasionally off-schedule to accommodate urgent shipments. Remote work is not approved for this role. This is a full-time position, reporting directly to the VP of Operations / COO. This position will be responsible for the Warehouse Operations at our Irvine, CA site.


Description of Duties

  1. Establish and maintain maximum and minimum consumables inventory levels (e.g. boxes, labels, thermal transfer paper, etc.)
  2. Coordinate with the in-house sales team and engineering to promote accurate and timely processing of orders for customers.
  3. Assist in maintaining logistics planning operations.
  4. Interact closely with the Logistics Coordinator for all International Shipments and current service providers to execute domestic shipments.
  5. Scan orders into the ERP system to track shipments across multiple channels (ocean, air, ground, or hybrids). Provide accurate, daily tracking information for all shipments.
  6. Approve timesheets associated with deliveries and pick-ups.
  7. Administer and maintain inventory control program systems.
  8. Oversee and track the performance of the entire fleet, including route optimization and scheduling.
  9. Collaborate with other departments to create coordinated plans for business growth.
  10. Ensure shipments of goods meet legal, international, and domestic requirements and standards.
  11. Communicate and negotiate with service providers to land more profitable agreements.
  12. Experience with domestic and international shipments (e.g. tariffs, customs, paperwork, compliance, codes and regulations, etc.)
  13. Maintain friendly and professional relationships with service providers while promoting company initiatives and values.
  14. Establish contingency plans. This includes the development of new business relations with alternative suppliers or working with existing partners to establish protocols for possible interferences.
  15. Manage cargo claims, process RMA’s, and provide daily updates to management on shipments.
  16. Reconcile 3PL inventory reports globally, both monthly and during physical counts.
  17. Support month, quarter, and year-end closing including processing transactions in the ERP system and other running reports.
  18. Obtain shipment Proof of Delivery within 48 hours of actual delivery.
  19. Demand tracking and leverage planning.
  20. Audit and document inventory, providing recommendations for ordering and restocking items.
  21. Manage warehouse associates, monitoring work and ensuring the safe use of warehouse equipment.
  22. Develop and implement warehouse protocols to optimize efficiency.
  23. Collaborate with executive management and team leaders to set warehouse and team goals.
  24. Track workplace performance and implement training programs to enhance employee development.
  25. Stay informed on the latest federal and state safety regulations.
  26. Manage stock control and reconcile with the data storage system.


Requirements:

  • BS degree in logistics, supply chain management, or business administration
  • Proven work experience as a Warehouse Manager.
  • Expertise in warehouse management procedures and best practices.
  • Proven ability to implement process improvement initiatives.
  • Strong knowledge of warehousing Key Performance Indicators (KPIs)
  • Hands-on experience with warehouse management software and databases.
  • Leadership skills and ability to manage staff.
  • Strong decision-making and problem-solving skills
  • Excellent communication skills.
  • Certifications in Logistics (ISL), Supply Chain Professional, or Transportation and Distribution are preferred and considered a plus.
  • Strong communication and customer service skills.
  • Excellent organizational and project management skills.
  • Detail orientated.
  • A strategic and analytical mind.
  • Proficiency in the utilization of ERP and MRP systems (e.g. SAP, Sage, etc.)
  • Be punctual, collaborate with team members, and be willing to work in flexible shifts.
  • Collaborate with other departments to close operational gaps.
  • Outstanding ability to visualize large-scale projects and anticipate challenges and requirements.
  • Proficiency in Microsoft Office programs (specifically Excel).
  • Working knowledge of PC systems and cargo management software is preferred.
  • Ability to lift and carry 50 lbs. (minimum).


Experience:

  • Warehousing and Logistics experience (domestic and international): 7-10 years minimum
  • Warehouse or Inventory Management: 5-7 years minimum
  • Custom and Specialized Cable Manufacturing, Electronics products manufactured outside the USA: 3-5 years (Preferred)
  • Previous experience in distribution, customer service, and managing deliveries.
