PRIMARY FUNCTION:
Act as the liaison between Preconstruction and Estimating Departments, project managers, subcontractors, and/or other members of the construction team. Responsible for providing administrative support throughout the preconstruction and estimating phases of projects.
TYPICAL DUTIES:
- Collect bidding documents from clients or internal teams and organize plans, specifications and other relevant documents for distribution to the estimating team and subcontractors/suppliers.
- Review all bidding documents and prepare all applicable forms for bid submissions (i.e. bid forms, bond forms, other special forms).
- Solicit bids from qualified subcontractors utilizing the SmartBidNet bidding software.
- Maintain plans, specifications, addenda, etc. throughout the bidding and preconstruction phases of projects.
- Manage and maintain accurate bid calendars in the Estimating Database and SmartBidNet, track deadlines, coordinate site visit attendance and ensure timely submission of bids.
- Maintain accurate project files and records and coordinate document turnover to the operations project teams.
- Compose and/or edit letters, memos, reports, procedures, etc., as required.
- May be required to arrange meetings, clarify and resolve problems, coordinate work, maintain working relationships and public relations, etc.
- Prepare special reports, studies, statistical analysis, brochures, etc. per supervisor's request. Such items would usually require research, development and/or interpretation of data and be performed with little supervision or instruction.
- Oversee and/or process day-to-day administrative items (i.e. expense reports, supply requisitions, etc.) per supervisor's authorization.
- Perform additional assignments per supervisor's direction.
SKILLS, KNOWLEDGE, QUALIFICATIONS AND EXPERIENCE:
Educational and experience requirements include: Four (4) year business or technical degree plus minimum 2 years administrative experience or equivalent combinations training and construction related experience. Candidates must be detail-oriented with a working knowledge of general office procedures. Excellent interpersonal and communication skills, strong organizational and time management skills and the ability to manage multiple tasks and deadlines are essential.
