Job Description

A DC Energy Law firm is in search of a Legal Assistant to join the team. This position mainly involves client service-related duties and business administrative support. This role calls for an ability to demonstrate a positive and proactive customer service approach and an ability to work effectively as a member of the group. Excellent communication skills (both verbal and written) and time management skills are essential. A Legal Assistant must be able to coordinate activities with their team as well as work on individual tasks without supervision. Law firm specializes in Energy Law and the type of work is technical and fast-paced. We are looking for a candidate with a willingness to learn, strong interpersonal skills, time management skills, is detail-oriented, organized, and technically proficient with the Microsoft 365. The hours are 9:00am-5:30pm with a 1-hour break for lunch (37.5 hour work week). On the job training will require 5 in-office days initially with a transition to up to 3 in-office days and 2 remote days per week. Candidates must be able to make at least a 2 year commitment to the role.

Status: Direct Hire

Salary: $50K-53K DOE

Duties and Responsibilities:

  • Case management: Organizing and maintaining client files in online databases (ie. OneDrive and MyCase) and keeping all documents and client folders up to date.
  • Records management : Keeping track of client and firm related matters in document trackers.
  • Communication: Answering phone calls and emails in a polite and professional manner.
  • Document preparation: Prepare and edit documents and spreadsheets using Microsoft 365 and Kofax PDF as requested. Proofread documents and check for appropriate formatting, spelling and grammar. Generate and update Tables of Authorities/Table of Contents using Microsoft Word.
  • Legal research: Conducting basic legal research to support attorneys in case preparation and prepare weekly reports of client-related activity.
  • Calendar management: Manage, maintain and update attorneys calendars and contacts, including meetings, appointments, due dates and client-related activities; arrange for conference rooms and catering for attorney/client meetings, update new and existing contacts.
  • Administrative tasks: Copying and scanning documents, and maintaining contact lists; work with IT as needed.
  • Billing support: Validate and process vendor invoices in a timely manner and prepare and process all expense reimbursements. Prepare and issue invoices to clients. Keep track of all firm and client-related payments.
  • Other responsibilities/duties as they may be assigned from time to time.

Job Requirements:

  • A bachelors degree is required.
  • Administrative support experience in a professional services environment preferred, preferably in a legal office.
  • Ability to switch tasks effectively and quickly and demonstrated ability to work collaboratively, including having shared responsibilities to achieve single objectives.
  • Experience with effective workload balancing to accomplish multiple tasks.
  • Strong interpersonal, written and oral communication skills.
  • Strong grammatical and proofreading skills.
  • Strong attention to detail.
  • Strong organizational skills and ability to prioritize.
  • Ability to meet deadlines and work well under pressure.
  • Ability to think critically and analytically; exhibit sound judgment.
  • Ability to handle privileged, confidential and sensitive information in an appropriate, professional manner.
  • Strong computer skills and proficiency in Microsoft 365 (Word, Excel and PowerPoint).
  • Ability and willingness to learn new technology and software platforms
