Job Overview:
This is a 35–40-hour, Monday through Friday, on-site position. The Administrative Assistant will play a crucial role by providing administrative and clerical assistance to the LCAM/property manager. This position requires a high level of organization, attention to detail, and the ability to manage multiple tasks efficiently. The AA will be the first point of contact for homeowners, tenants, real estate agents, property management companies, and board members.
Key Responsibilities:
•Manage and organize office operations and procedures
•Schedule and coordinate meetings, appointments, etc.
•Prepare and edit correspondence, communications, newsletters, etc.
•Maintain filing systems, both electronic and physical
•Handle incoming and outgoing mail, emails, and phone calls with etiquette
•Assist in the preparation of reports, and other administrative tasks
•Provide general support to visitors and act as a point of contact for internal and external clients
•Ensure office supplies are maintained, including checking inventory and ordering as necessary
•Perform other related duties as assigned
Qualifications:
•High school diploma or equivalent
•Experience in an administrative role
•Experience in customer service
•Experience in bookkeeping is a PLUS!
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Publisher)
•Experience in QuickBooks Online
•Excellent written and verbal communication skills
•Experience in HOA software is a PLUS!
•Strong organizational and time management skills
•Ability to handle sensitive information with discretion and confidentiality
•Detail-oriented and able to multitask effectively
•Positive attitude and a team player with strong interpersonal skills
