Job Description

MDW Associates is currently seeking a Travel Helpdesk Technician to support our NASA customer at Ames Research Center (ARC), CA. This position will require an onsite presence, so candidates must be able/willing to commute to NASA (ARC).

The technician will provide full-time support to NASA's civil servant travel requirements performing the following tasks and activities:

Create Travel Authorizations (TAs):

  • Prepare correspondence
  • Prepare Service Requests and submit to the AAO as required
  • Review Travel Request Worksheets (TRW) provided by traveler to ensure completeness and that all conference related travel has the appropriate approval as required by Agency and Center policy
  • Submit data to the Government-wide, web-based, end-to-end travel management system, from TRW
  • Make travel reservations through the Government-wide, web-based, end-to-end travel management system as appropriate. Reservations may include airline, hotel, rental car, and shuttle pick-up/drop-off, etc.
  • Prepare travel authorization in accordance with regulations and Center policy
  • Provide travelers with their travel itinerary
  • The Travel Office will process cancellations as appropriate and will provide travelers with a cancellation confirmation number
  • Monitor Travel Authorizations through Concur Government Edition to ensure timely approvals and ticketing, following up with e-mail and phone calls to approvers as necessary
  • Contractor will perform follow-up on travel documents by communicating via e-mail and phone, as outlined in the Preparer Process document
  • Monitor travel TRW for participation in government initiatives as appropriate (e.g., Gain-sharing) for information relevant to ensure requirements are met. Maintain the requisite documentation related to these programs
  • Collect data (travel metrics) e.g., number of calls required to complete/confirm reservation etc. Provide reports (Premium Travel Audit Report and Semi-Annual Report for Payments Accepted from Non-Federal Sources) and metrics weekly and as requested
  • Generate and maintain relevant information on each travel request received from the time the traveler's TRW is received in the Travel Office until the traveler has been ticketed. Provide reports and metrics weekly and as requested

Perform Foreign Travel Coordination (FTC):

  • Assist with Obtaining a Government Passport
    • Provide guidance to applicants on how to apply for new government passports, renewals, replacements.
    • Provide guidance to retirees who need to return their government passports.
    • Meet up with applicants to accept their applications
    • Review applications for accuracy and completeness
    • Collect passport photos
    • Prepare the information page
    • Prepare the shipping slip
    • Scan materials to save for records
    • Send the complete package to HQs for review
  • Support Visa Process (each country has different requirements for visa)
    • Check Department of State's website for country visa requirements
    • Provide guidance to applicants
    • Meet up with applicants to accept their visa applications
    • Review application for accuracy and completeness
    • Collect all required materials
    • Scan materials to save for records
    • Send the complete package to HQ for review
  • Assist with Gaining Country-Clearance
    • Send notice to HQ for travelers' trip approval
    • Facilitate communication between travelers and NASA attaché
    • Inquire travelers to complete all the required forms stated on CTO's website
    • Collect all forms
    • Review forms for completeness and accuracy
    • Route complete package through approval route
    • Input traveler's information into country clearance system

Create Travel Vouchers (TVs):

  • Prepare correspondence
  • Prepare Service Requests and submit to the AAO as required
  • Review travel voucher worksheets provided by traveler to ensure completeness and that all supporting receipts and other documentation are included as required by Agency and Center policy
  • Submit travel voucher information provided by the traveler into the Government-wide, web-based, end-to-end travel management system
  • Process vouchers in a timely manner to NASA Shared Services Center (NSSC) for payment in the business system
  • Monitor status of vouchers until paid
  • Resolve disputes pertaining to disbursements
  • Collect travel metrics (e.g., number of calls required to complete/confirm reservation etc.). Provide reports and metrics as requested
  • Generate and maintain relevant information to track each travel request received from the time the traveler's request is received in the Travel Office until the traveler has been ticketed. Provide reports and metrics weekly and as requested.
  • Generate and maintain related information from the time the traveler's voucher is submitted to the Travel Office until the time the traveler is reimbursed. Provide reports and metrics weekly and as requested.

Required Experience:

  • Candidates for this position must have excellent written and verbal communication skills
  • Ability to provide superior customer service in challenging circumstances (via phone, e-mail, MS Teams and in-person) is required
  • Working knowledge of the MS Office suite is a must

Desired Experience:

  • Prior NASA experience is desirable
  • Prior federal government travel experience

Education Requirement/Required Years of Experience:

  • High School Diploma or equivalent and four (4) years or greater of related experience

Clearance Requirement(s):

  • Ability to obtain a favorable public trust
