The Executive Assistant provides high-level administrative support to the CEO and Executive Committee, ensuring seamless daily operations and strategic coordination. This role serves as a key liaison to the board of directors and senior leadership, managing executive communications, outreach efforts, and special projects with professionalism and discretion.
Responsibilities:
- Handle confidential matters with discretion, supporting decisions that impact global operations.
- Maintain and manage the CEO’s daily calendar, scheduling meetings and events efficiently.
- Prepare presentations, reports, agendas, and documents using Microsoft Word, Excel, and PowerPoint.
- Coordinate complex travel arrangements and process expense reports for executives.
- Screen and manage incoming calls, messages, and requests, ensuring prompt and appropriate responses.
- Draft internal and external correspondence, including announcements and board meeting materials.
- Manage executive contacts, assist with presentation development, and oversee key communications.
- Act as a representative for the Executive, maintaining professionalism in all interactions.
- Organize and manage complex calendars, resolving scheduling conflicts as needed.
- Handle ad hoc projects, including personal events and family-related tasks as required.
- Be available beyond standard business hours to address urgent matters and correspondence.
Qualifications:
- Bachelor’s degree required.
- 5 years’ experience as an Executive Assistant supporting C-Level executives.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Exceptional communication, time management, and problem-solving skills.
- Ability to thrive in a fast-paced environment with flexibility and adaptability.
