About Role


The Office Manager will be critical to empower our fast paced and dynamic team. They will organize and coordinate administration duties and office procedures, be the face of the office, and provide support to the CEO and wider team. Ultimately your role is to ensure the smooth running of the office and happiness of its people. You will be the central point for all Centr’s office and administration management, ensuring the office is run efficiently and effectively and the team have all they need to perform their jobs to their best ability.


In addition, this role will support the People and Culture team for onboarding and offboarding team members, being a point of contact for employee self-service questions, coordinating compliance training, and project managing employee events.


Responsibilities:


  • Ensure the smooth running of an office on a day-to-day basis
  • Drive a supportive and positive office culture, coming up with and executing initiatives to improve culture and staff morale.
  • Serve as the point person for office manager duties including needs around maintenance, mailing, supplies, equipment, and other logistics support.
  • Provide People and Culture team support with onboarding and offboarding processes as well as screening and expediting general inquiries from employees regarding HR and Workplace related needs.
  • Provide administrative support to the CEO and Executive Leadership Team such as calendaring, scheduling and organizing meetings, arranging travel, and preparing / submitting expenses.
  • Own office wide tech and software implementation, management, and problem solving in partnership with Managed Service Provider.
  • Assist with office expense reporting.
  • Coordinate with IT Support Partner on all office equipment, hardware, and software needs. This includes the hardware asset management from purchase, repairs, replacement, and budgeting.
  • Own relationships and requirements with facility management vendors, including cleaning, catering, building management, security, local council, and a variety of other services.
  • Project manage all in-house or off-site activities, like parties, celebrations, and team building.
  • Coordinate fire and earthquake drills in accordance to building / landlord requirements.
  • Manage office budgets, ensure accurate and timely reporting.
  • Provide support to visitors, schedule meetings, appointments, catering, set-up and clean up.


Skills and Experience:


  • Experience managing and coordinating onboarding and offboarding activities.
  • Experience with human resource operations such as benefits enrollment, time and pay processes, and other employee self service activities.
  • Proficiency in other software such as Jira/Confluence, survey platforms, HRIS are a bonus.
  • Solid experience as an Office Manager, Workplace Experience Coordinator, HR Coordinator, or Administrative Assistant.
  • Skilled with managing administrative responsibilities for multiple executives at one time.
  • Experience with Office Manager responsibilities, systems, and procedures.
  • Proficiency in the full Google Suite, Slack, MS Suite, and Asana.
  • Hands on experience with office machines and systems (e.g. Printer, video conferencing, wifi)
  • Excellent time management skills and ability to manage multiple work streams and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational, project management, and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
