Job Description

A small, independent financial planning firm in Germantown, MD, seeks a proactive and detail-oriented Office Manager to support our financial planning team. This role is integral to ensuring a smooth, well-organized office environment, allowing our financial advisors to focus on client relationships. As the liaison between clients, advisors, and our home office, you will be at the center of our firm’s client service and operational efficiency.


Key Responsibilities:

  • Client Engagement & Office Reception: Serve as the first point of contact for clients and guests, managing phone and in-person interactions.
  • Client & Data Management: Maintain our CRM, ensure accurate client data, manage document scanning, and oversee compliance-related client correspondence.
  • Marketing & Digital Presence: Manage the firm’s social media accounts (Facebook and LinkedIn) and website to help build our brand.
  • Event Coordination: Plan and oversee client appreciation events and other special engagements.
  • Office Administration: Oversee the day-to-day operations to keep the office efficient, professional, and well-maintained.
  • General Administrative Support: Execute various administrative tasks essential for our firm’s success.

 

Qualifications:

  • Experience: Minimum of 2 years in office administration, preferably in a professional services environment.
  • Education: High School Diploma or Associate’s degree required.
  • Background Check: Ability to pass background and fingerprinting checks.
  • Skills: Proficient in MS Office Suite and social media (Facebook and LinkedIn). Willingness to learn in-house software.
  • Industry Knowledge: Familiarity with the financial or securities industry is a plus.
  • Core Strengths: Strong organizational, time-management, and interpersonal skills, with a keen attention to detail.
