Job Title: Executive Assistant
Reports to: Operations Manager
Job Type: Full-time, M-F 9 AM - 5 PM
Salary Range: $52,000 - $55,000
Hourly Rate: $25/hr
Position Overview:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Operations Department. The ideal candidate should be able to manage complex scheduling, handle confidential information, and coordinate administrative tasks efficiently to help ensure smooth operations within the department.
Key Responsibilities:
Schedule & Calendar Management:
- Manage professional scheduling for the Operations team, including meetings, agendas, emails, and phone calls.
- Coordinate complex scheduling and ensure seamless communication across departments.
Travel & Logistics Coordination:
- Organize travel logistics, including accommodations, transportation, and meals for the Operations team.
Administrative Support:
- Provide general administrative support, including typing, dictation, spreadsheet creation, and maintaining filing systems.
- Assist in organizing and tracking project timelines and deliverables.
Document Management:
- Maintain an organized filing system for both paper and electronic documents.
- Prepare reports, presentations, and analyses for the Operations team as needed.
Support Operations Projects:
- Complete other administrative tasks and projects to support the Operations team in achieving goals.
- Assist in data entry, processing, and maintaining operational records.
Confidentiality & Professionalism:
- Maintain professionalism and strict confidentiality with all company materials and communications.
Required Skills and Qualifications:
- Bachelor's Degree
- A minimum of three years of experience in an administrative role, preferably supporting an operations team.
- Exceptional written and verbal communication skills.
- Strong time-management abilities, with the capacity to organize and coordinate multiple concurrent projects.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to work independently and take initiative in a fast-paced environment.
