Job Description
AECOM is seeking a Knowledge Management Specialist to join our Marketing team. This position can be based out of our Kitchener, Markham, Mississauga or Ottawa, ON offices.
Job Summary:
Reporting to the Knowledge Management and Systems Lead, Marketing, Canada Region, the Knowledge Management Specialist will be responsible for maintaining business development and marketing content including proposal answers, people/project content and generating new proposal content and narratives. The job incumbent will identify best practices and support training/instruction for internal teams and stakeholders; coordinate across the business to create solutions and improve knowledge centres for intelligence sharing; support market research and leverage data systems to support proposal strategy and business strategic planning efforts.
Major Responsibilities:
Content Management / Knowledge Harvesting and Sharing
Work Winning Hub and Collateral Libraries
Support collateral harvesting and narrative development for upload to Americas Library; lead narrative development activities in coordination with marketing team members and SMEs.
In conjunction with the marketing team, support updates to regional and global Knowledge Management (KM) marketing collateral libraries (Pursuit, Resume, Narrative, Project, and People Profiles).
Support sourcing new content from regional projects and pursuit teams, focusing on regional-specific topics.
Support information requests for site content and searches.
Support team in site analytics or research to improve site content and access, and awareness.
Review the knowledge base to identify areas that need to be updated/expanded/developed.
Assist on creating business requirements document, page mock-up, and process workflow for new KM initiatives.
Assist on presenting KM proposals to the stakeholders to fully understand the requirements and to integrate feedback.
Knowledge Sharing and Best Practices Training
Support or create new events and update schedules for promotion on internal channels (Teams, Viva Engage, Ecosystem).
Support the updates of new content to curriculums, working in conjunction with the KM team.
Support, prepare and consolidate post event data, attendance records and other key metrics.
Support development and facilitation of training and/or knowledge sharing activities such as presentations, lunch and learns, best practice sessions with marketing and technical staff.
Resume Library / People Profiles – System Support
Support bulk uploads and updates to Resume Library, as needed.
Develop and maintain reports in response to requests for staff breakdowns by various parameters, including location, business line, region, etc.
In conjunction with the marketing team, support information requests, searches, reports, and compile results into tables or formatted documents.
Support individual staff with data updates to their profiles on request, including working to get content into the system, ensure that the order of projects is correct, and that information is consistent.
When needed, normalize the content in project profiles for the projects that appear on resumes, to ensure consistency with all the employees connected to the projects.
Project Profiles – System Support
Support updates to project profiles content and data, including description summaries and metadata essential to searching and reporting.
Research large projects to find on-line content and add it to the description.
Conduct searches and produce and export summary reports, on request. For searches, export content and format.
Update and maintain opportunity record and proposal libraries post submission.
In conjunction with the marketing team information requests, searches, and formatting/exports company templates in line with corporate guidelines.
Client Relationship Management (CRM) – Systems Team Support
Support systems team with creation and modifications to dashboards, as needed.
Support marketing teams with creating and exporting reports, develop search criteria, as needed
Qualifications
Minimum Requirements:
In order to be considered for this position, candidates must possess, at a minimum:
University Degree in IT Systems, Library Information Communications, Journalism, Business, Marketing + two (2) years of proposal support experience.
Advanced skills with Microsoft applications such Excel, Word, and PowerPoint.
A demonstrated equivalency of experience and/or education may be considered.
Preferred Requirements:
Minimum five (5)+ years’ Proposal support experience, preferably within a professional services firm.
Experience with CRM systems administration, such Salesforce is desirable.
Excellent written communication skills, able to communicate on concepts and solutions.
Basic skills in Adobe Creative Suite (specifically InDesign), is desired.

Sponsorship for Canadian employment authorization is not available for this position.
Offered rate of compensation will be based on individual education, qualifications, experience, and work location. The salary range for this position is $55,000 - $79,000.
