Position Summary
Reporting to the Manager of Change Management and Adoption, the Training Coordinator is responsible for developing and executing the training programs necessary for the MEDITECH Expanse Implementation Project. This role involves assessing training needs, creating training materials, scheduling and conducting training sessions, and evaluating the effectiveness of training programs. The Training Coordinator ensures that all users are adequately prepared to use the new system, facilitating a smooth transition and promoting user adoption.
Primary Responsibilities
- Coordinate training registration and scheduling using available software tools
- Collaborate with the vendor’s training team to provide lists of attendees and capture necessary information for scheduling such as department roles, shifts, and confirmation of attendance
- Monitoring attendee completion of self-learning tutorials that have been identified as prerequisites for instructor-led training
- Tracking and reporting on learner completion of all mandatory training and identification of any employees who have not attended/not been scheduled for training
- Collaborating with organizational staff to coordinate and book appropriate training spaces based on the needs
- understanding of MEDITECH Expanse functionality and workflows for all roles requiring training.
- Assessing the change from the previous solution to the future solution to understand the training needs to develop a comprehensive training plan
- Developing, implementing and maintaining a role-based training program including curriculum development, instructional design and classroom delivery.
- Responsible for development of training content based on clinical workflows, information flows, interfaces, formatting screens and views.
- Ability to work in both test and production environments to create training resources, and create training environment for case-based scenarios
- Working within test environment, design sandbox environment with practice accounts to facilitate training
- Perform in-depth analysis of workflows, data collection, report details, and other technical issues associated with Expanse and other digital solutions
- Act as a Subject Matter Expert (SME) and superuser for Expanse applications
- Training, facilitating, guiding and coaching groups and individuals in MEDITECH functionality and workflows in a variety of sessions that could include formal scheduled sessions, informal sessions, in-services, train the trainer, unit visits, etc.
- Identifying the need for learning materials and supplemental learning resources/experiences and the development, implementation, promotion and maintenance of these resources
- Establishing mechanisms to receive feedback and adapt training efforts as needed
- Evaluation of the effectiveness of training and resources through on-going feedback loops, learner proficiency, and performance
- Establish and maintain strong relationships with internal and external stakeholders, including hospital staff and MEDITECH team.
- Collaborate with Manager of Change Management and Communication Lead to implement communication strategies to keep stakeholders informed and engaged.
- Develop mechanisms to incorporate subject matter expertise into training materials and validate the content prior to delivery
- Provide regular updates and reports on training progress as needed
- Support the change management strategy with news and updates on training progress, reminders, success stories, important tips and tricks, etc.
- Participate in working groups to support the development of training plans
Mandatory Qualifications
- Undergraduate degree in education, health informatics or health sciences (master’s degree is considered an asset)
- Diploma or certification in Informatics, Adult Learning, or designation as a Regulated Health Professional is considered an asset.
- 3-5 years of experience in curriculum development and instructional design
- Previous experience in education delivery utilizing adult learning principles
- Previous HIS implementation experience (MEDITECH Expanse experience preferred)
- Experience in an acute health care environment with an understanding of clinical workflows and terminology preferred
- Solid understanding of acute patient care services, clinical processes, and handling of personal health information in order to demonstrate cases
- Strong adult education skills – developing, preparing and delivering education
- The ability to probe for information about the underlying needs of the organization and of individuals
- Communicate effectively with project team members and subject matter experts to understand and follow up on identified learning needs
- Proficient in the use of Microsoft Office tools (Excel, Word, PowerPoint, etc.) Visio experience is an asset
- Experience with media applications used to create eLearning modules, training resources and presentations
- Training coordinator will receive required training in MEDITECH Expanse (to be provided by vendor).
