Title: Adoption and Change Management Specialist (Remote)
Location: Remote
Duration: 5 Months
Anticipated Workload: Work is expected to be between 30 and 40 hours per week throughout the project. There may be fluctuations from this amount depending on timing of the project.
Job Description:
Project Overview: The EV5 to EV6 Upgrade project will transition the Client environment from EV5 to EV6, eliminating cybersecurity risks associated with outdated JAVA versions and plug-ins and utilizing new EV6 functionality. To ensure seamless adoption of the upgraded environment, an Adoption Change Management (ACM) Contractor will be engaged to drive change management activities. In procedures for both new and existing functionality, ensuring users are equipped to adopt the system effectively.
Preferred Experience and Qualifications:
Education: Bachelor's degree or higher
Change Management Expertise: Prosci and/or ACMP certified, 5 years OCM/ ACM experience, preferably in tech upgrades or system migrations
Expertise in developing end user documentation, training materials and communications for technical projects using mainly Microsoft products.
Experience with ADP, especially EV5 or EV6
Ability to typically work during standard ET business hours (9 AM - 5PM)
Ability to work under ambiguity and shift as the project develops.
Scope of Work
1. Stakeholder Assessment and Engagement
Identify and Assess stakeholders impacted by the EV6 upgrade across departments, with a focus on Finance, HR, and IT.
Understand change impacts for each stakeholder group to tailor communication and engagement strategies.
Engage key stakeholders to gather input on required training and documentation needs.
Support stakeholder alignment efforts throughout the planning and execution phases.
2. Communication Strategy and Execution
Develop a detailed communications plan to support the adoption of the EV6 environment, covering pre-launch, launch, and post-launch phases.
Craft and distribute communications through various channels (email, intranet, etc.) to ensure all impacted users are informed.
Translate technical system updates into user-friendly language to increase engagement and understanding.
Maintain communication recipient lists and ensure alignment with Client's communication standard
3. End User Documentation and Procedure Development
Develop end user documentation, including updated procedures and system interaction guides tailored to the EV6 functionalities, calling out both new and existing procedures.
Ensure documentation aligns with the roles and responsibilities of different user groups across Finance, HR and IT.
Capture key changes from EV5 to EV6 to provide clear, actionable procedures for cross validation activities (e.g., payroll periods).
Collaborate with project leads to ensure that procedures meet Client's operational standards and are suitable for future onboarding and reference.
4. Training Development and Delivery
Design and implement a comprehensive training plan to upskill users on new EV6 functionalities.
Schedule and facilitate pre-launch, launch, and/or post-launch training sessions, as appropriate (live or recorded).
Develops training materials including presentations decks, participant guides, and job aids.
Provide targeted training for project team members, operational staff, and end users to ensure smooth system adoption.
Ensure hypercare support is available during the initiate post-launch period to address any user issues ot training gaps.
5. General ACM Project Support
Participate n regular project meetings with the EPMO and other key ay updated on progress and provide change management input.
Identifying and tracking information related to key metrics and success measures for user adoption.
Collaborate with IT and cybersecurity teams to mitigate adoption risks, including those associated with outdated technologies.
Ensure documentation of lessons learned and contribute to a project closure report.
Deliver original documentation and training materials to the project team to enable future updated and usage.
Anticipated Deliverables
1. Stakeholders assessment reports, including impact analysis.
2. End user documentation (procedures, guides, job aids).
3. Training materials for all impacted roles and departments.
4. Communications plan and templated for each phase of the project.
5. Hypercare support plan for post-launch activities.
6. Final report summarizing lessons learned and recommendations for future projects.
