Position Summary:
The Logistics Coordinator and Customer Service Associate will play a key role in interfacing with customers to address inquiries, handle orders, and manage logistics processes. The ideal candidate will have strong knowledge of the transportation industry and excellent communication skills.
Key Responsibilities:
- Customer Records & Updates : Enter and update information for new and existing customers, ensuring clear communication with relevant personnel on all updates.
- Order Processing : Communicate with customers and sales representatives to process orders by phone, email, or fax.
- Order Tracking & Status Updates : Provide real-time updates on order status, including ready dates, shipment details, and arrival dates, using tracking tools for accuracy.
- Freight Quotes & Scheduling : Coordinate and schedule pickups with LTL and TL freight carriers (domestic and international), preparing the necessary transportation documents (air, truck, rail, etc.).
- Shipping Compliance : Schedule shipments to ensure compliance with domestic and international regulations as well as company policies.
- Customer Issue Resolution : Address and resolve customer inquiries or complaints according to company guidelines, coordinating with other departments as needed.
- Billing & Service Complaints : Handle complaints regarding billing or service, forwarding issues of service failures to the appropriate department.
- Returns & Damage Processing : Manage customer returns by requesting Return Authorizations, scheduling pickups, processing replacements, and handling claims for damaged goods.
- Inventory Management : Oversee consignment inventory, resolve discrepancies, and manage monthly restocks and usage reporting for billing purposes.
- Cross-Departmental Communication : Work closely with departments like Shipping, Accounting, Sales, and Production to ensure customer orders meet purchase order requirements.
- Export Documentation : Prepare export documents, including airway bills, Ocean BOL, commercial invoices, SLIs, and VGMs.
- International Logistics : Handle international ocean and air bookings, tracking, and tracing, with a strong preference for experience in the Asia and Europe regions.
Qualifications:
- Industry Experience : Prior experience in the transportation and logistics industry, with knowledge of domestic and international regulations.
- Documentation Expertise : Proficiency in completing export paperwork and familiarity with international shipping standards.
- Communication Skills : Excellent customer service and communication skills for handling orders, inquiries, and complaints.
