Our client working within the mental health industry is seeking a Bilingual Project Coordinator to join its Communications team, with a focus on supporting translation and internal communications functions. This would be starting be starting on a 4 month contract, with the likelihood to extend to a full 18 month contract. This is working in a hybrid model, 2 days onsite per week downtown Ottawa.
This role is ideal for someone with excellent organizational skills, attention to detail, and a knack for managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Project Management: Manage internal communications projects, including newsletters and staff announcements.
- Organize and track translation requests using translation software (Trados).
- Liaise with freelance translators and internal account managers to coordinate assignments.
- Monitor project timelines and ensure quality control, including compliance with the Official Languages Act.
- Invoicing & Budget Management: Handle invoicing for multiple budgets, ensuring proper coding across roles and projects.
- Track project budgets and assist with financial reconciliation.
- Communication Support: Format internal emails and newsletters using the organization’s CRM and email system.
- Maintain and manage contact lists and assist with CRM updates.
- Quality Control: Perform final checks on translated materials, including formatting and hyperlink accuracy.
- Assess translator performance to optimize task assignments based on skillsets.
Qualifications
- Experience: 3–5 years of experience in a fast-paced environment, preferably in communications or project management.
- Familiarity with translation workflows or systems like Trados is an asset but not required (training provided).
- Skills: Strong organizational and time-management skills.
- Advanced proficiency in MS Office Suite and CRM tools (e.g., Salesforce).
- Excellent verbal and written communication skills in English and French.
- Ability to manage multiple priorities under tight deadlines with diplomacy and focus.
- Education: Open to candidates with equivalent experience; a background in communications or administration is preferred.
