The Event Manager is responsible for providing professional client support in the planning, organization, and management of events within the facility. Monitors the coordination of these events, and all event coordination tasks after events are contracted through conclusion. Interacts with clients, facility staff, in-house concessionaires, and related personnel.nnMAJOR RESPONSIBILITIES:nnEstablishes and maintains contact with client upon assignment of an eventnnServes as primary liaison between clients and facility departmentsnnMaintain rapport with clients, their associates, service suppliers, and building staff insuring the highest level of customer servicennMeets with and guides clients to plan and organize assigned events and interprets, explains, and implements contract provisions, facility rules, regulations, policies, and proceduresnnCoordinates activities with various service contractors for assigned eventsnnKeeps clients informed as to the status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, and event timelinesnnSecures/coordinates pertinent event information for the most effective use of the facility including room set-ups, utility requirements, audio-visual needs, appropriate security, and other staffingnnProduces computer generated floor plans and determines facility equipment requirementsnnProvide clear, concise, and timely communication of detailed event requirements to facility departments on a timely basisnnPrepares cost estimates and monitors final billingnnParticipates in weekly production meetings to review upcoming event details with all building departmentsnnRequired to work irregular schedule including nights, weekends, and holidays to accommodate business and client needs in the facilitynnMust have the ability to interact with guests in a friendly, courteous, and polite manner. This will include initiating contact with guests within ten feet – i.e., smiling, saying “Good Day,” or helping when needed.nnMust feel comfortable when around large groups or speaking to a guest, as needednnUnderstands the importance of providing customer service and in understanding of “The Magic is in the Details”nnAll other assigned dutiesnnQUALIFICATIONS:nnKnowledgennA good knowledge of the principles of administration as they relate to provision of facilities, services and equipment in a convention, exhibition, conference, or entertainment center. A general knowledge of the services, vendors, or other organizations involved in producing events. A minimum of two years college level course work in a hospitality or marketing related program preferred.nnExperiencennA minimum of two years’ experience in public facility management, promotion, or operation of conventions or trade shows or service-related operation preferred.nnSkills/AptitudesnnSound organizational, planning, and people skills.
