Office Administrative Assistant Job Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This position plays a vital role in managing day-to-day administrative functions with a strong focus on accounting tasks, customer relations, and operational support. Key Responsibilities: Customer and Vendor Support Answer and manage accounting-related phone lines (ASD & accounting) and assist walk-in customers and visitors in a professional and courteous manner. Serve as the primary point of contact for inquiries, offering timely and accurate responses. Shipping and Logistics Schedule and coordinate LTL (Less Than Truckload) shipments to and from ASD, including handling customer shipments. Prepare and print shipping slips for LTL orders, collaborating with team members to ensure smooth processing and timely delivery. Manage and track shipments to ensure all orders are packed and dispatched promptly. Accounts Receivable & Payments Collect payments via Shopify and other systems, ensuring timely posting and reconciliation of payments. Process payments by check, deposit them into the appropriate accounts, and ensure they are matched in QuickBooks (QB) for accurate record-keeping. Track and manage collections, ensuring all accounts are up to date and outstanding balances are addressed. Office and Administrative Support Order and manage office and break room supplies, including snacks and other essentials, to ensure smooth daily operations. Handle incoming and outgoing mail, including the sorting and distribution of daily correspondence. Administer the info email account, ensuring timely responses and follow-up to internal and external inquiries. Project & Pipeline Management Assist with managing the HubSpot pipeline, tracking incoming payments, and coordinating shipping logistics when shipments are being packed and shipped. Support various administrative projects as needed, including assisting with onboarding processes for new team members (e.g., setting up Gmail and DialPad accounts). Miscellaneous Duties Provide general support for office operations, including occasional tasks related to team needs or management requests. Help prepare and coordinate various administrative and operational documentation, including invoices and receipts. Qualifications: High school diploma or equivalent (Associate's or Bachelor's degree preferred). Minimum of 2 years of experience in an administrative role, with a focus on accounting, finance, or operations. Strong proficiency with accounting software (QuickBooks preferred) and online platforms (Shopify, etc.). Experience with scheduling, logistics, and shipment coordination is a plus. Excellent communication skills, both written and verbal. Highly organized with exceptional attention to detail and the ability to prioritize tasks effectively. Ability to work independently and as part of a team in a fast-paced environment. Proficient in Google Suite or similar office tools. HR experience is a bonus.
