As a Transitions Lead, you’ll be responsible for administrative responsibilities related to our new community onboarding process and outgoing community transition process. The Transitions Lead will work directly with the Director of Operations, and as part of the greater cross-department team involved with community transitions consisting of accounting specialists, I.T. associates, and community managers. This hybrid role may report to our Downtown Chicago corporate office or our Hoffman Estates corporate office. Your Responsibilities: Represent FirstService Residential to other management companies, acting as the liaison for client transitions via email and phone communications. Work with the Director of Operations, coordinating information-sharing between accounting, community managers, operations specialist’s teams, vendors and other management companies. Coordinate the transferring of documents and reports with the transitions management representative. As the process progresses, track received/sent and open items to ensure all appropriate records and funds are transferred. Help obtain answers to questions arising during the review of community information. Assist with internal system set up for new clients. Tasks may include uploading documents, ensuring settings are accurate, and populating property-specific information. Participate in regular transition team meetings to discuss progress, areas needing attention, questions, and coordination of daily/weekly tasks, collaborating to ensure the highest level of service is provided. Act in various additional areas of the transition process to ensure all required steps are complete. Interact and establish professional relationships with community association managers, accounting associates, regional operations team members, and other colleagues. Follow established policy and procedures. Additional assignments and duties may be assigned from time to time by the supervisor. Skills & Qualifications: 2-4 years of experience in administrative office functions including data entry, internal/external communication, and task prioritization. Experience in high volume processing is highly preferred. Active Community Association Manager license in the state of Illinois. Bachelor’s degree or combination of education, experience, and training. Strong computer skills with proficiency in Microsoft Office Suite Ability to establish and maintain effective working relationships. Work effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions. Must possess a high energy attitude and an ability to multi-task/prioritize different projects at any given time. Superior oral and written communication skills.
