Job Description

The gorgeous corporate office of a a high profile consumer brand is seeking an ambitious and people-focused Office Assistant and Receptionist to join their collaborative and growing team. This in an onsite /in-office position where you will act as a first point of contact and first line of support. We are actively hiring and seeking a candidate to take on a variety of administrative tasks, special projects, coordinate office events and ensure everyone who calls or comes in is treated with a professional, friendly, and positive attitude. This opportunity is for a passionate relationship builder with exceptional organizational skills.


Our ideal candidate is positive and professional, with extremely articulate communication skills and a customer service-oriented attitude that will come in handy while scheduling our VIP clients, preparing for meetings, and addressing incoming and outgoing correspondence needs. There will also be responsibilities in data management, handling sensitive and timely files for approval.


A Day in the Life:

  • Answering and routing incoming phone calls; functioning as the firm’s main gatekeeper
  • Acting as the face of the office by directing guests and tending to their needs
  • Scheduling clients for services and working with sensitive contact information
  • Receiving and distributing mail and incoming packages
  • Assisting with scheduling for common areas, client meetings, and individual executives
  • Handling building and facilities requests, liaising with vendors and outside contacts for parking cards, security, maintenance, and overall communication
  • Managing supply orders, snacks, and ensuring organization
  • Coordinating and being the main coordinator for office parties, birthdays, lunches, and holiday parties
  • Following up with internal teams on sensitive data work including insurance files and sensitive documents that need timely coding with attention to detail



Our ideal candidate has:

  • Applicable customer-facing experience in administration, operations, or hospitality
  • Second-to-none service orientation and communication skills
  • Bachelor’s degree preferred
  • Expertise in MS Office
  • Reliable and accountable attitude; excellent organizational skills
  • Positive, upbeat, and ready to learn
  • Can-do and hands on attitude, enjoys working with people and making a positive contribution


Hours for this role are 9am-5:30pm with fully onsite schedule M-F

Salary 45-48K plus bonus and excellent health benefits
