Job Description
Key Responsibilities:
Client Interaction: Greet clients and visitors in a professional, friendly manner, providing exceptional customer service both in person and over the phone.
Appointment Management: Schedule and confirm appointments for clients, ensuring that the tax professionals' calendars are organized and up-to-date.
Answering Phones: Handle inbound calls, take messages, and direct calls to the appropriate staff members in a timely manner.
Administrative Support: Assist with general office tasks including filing, data entry, and handling mail.
Client Intake: Collect necessary documentation from clients for tax preparation services and ensure all necessary forms are properly completed.
Billing & Payments: Process client payments and provide receipts, ensuring accurate records are maintained.
Office Organization: Keep the front office area clean, organized, and stocked with necessary supplies.
Confidentiality: Maintain confidentiality of client information and follow firm protocols regarding privacy and data security.
Qualifications:
Education
: High school diploma or equivalent required; associate degree or higher preferred.
Experience:
Previous experience in a receptionist or customer service role, preferably within a professional or office setting. Experience in a tax or accounting firm is a plus.
Skills:
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Basic knowledge of office equipment (e.g., phone systems, fax machines, printers).
Ability to maintain a professional demeanor and handle sensitive information with discretion.
Languages:
Bilingual (English/Spanish) required.
