Encore Technologies is hiring for a Project Coordinator to join our team!

An IT Project Coordinator is a professional responsible for managing and coordinating various aspects of information technology (IT) projects within an organization. Their role is critical in ensuring that IT projects are executed efficiently, on time, and within budget.


Responsibilities

  • Project Planning: Collaborate with project managers and stakeholders to develop project plans, defining project scope, goals, and deliverables. Create detailed project schedules and timelines.
  • Resource Management: Allocate and manage resources, including IT personnel, equipment, and materials, to ensure they are available when needed throughout the project.
  • Communication: Serve as a central point of contact for project-related communications. Keep stakeholders informed about project progress, issues, and risks through regular status updates, meetings, and reports.
  • Documentation: Maintain project documentation, including project charters, requirements documents, change requests, and meeting minutes. Ensure all project-related documentation is organized and accessible.
  • Risk Management: Identify and assess potential risks to the project and develop risk mitigation strategies. Monitor risks throughout the project lifecycle and take action to address them as needed.
  • Task Coordination: Coordinate tasks and activities among project team members, ensuring that everyone understands their responsibilities and deadlines.
  • Quality Assurance: Monitor project activities to ensure they meet quality standards and adhere to established processes and best practices.
  • Budget Tracking: Track project expenses and expenditures to ensure they stay within budget. Report any budget variances to project managers and stakeholders.
  • Issue Resolution: Identify and address project issues and roadblocks that may hinder progress. Work with the project team to find solutions and keep the project on track.
  • Change Management: Handle change requests and assess their impact on the project's scope, schedule, and budget. Ensure proper approval and documentation for any changes.
  • Reporting and Metrics: Generate and maintain project performance reports and metrics. Use these reports to evaluate project progress and provide insights for decision-making.
  • Stakeholder Engagement: Build and maintain strong relationships with project stakeholders, including executives, team members, clients, and vendors. Address their concerns and keep them engaged throughout the project.
  • Documentation Management: Manage the storage and retrieval of project-related documents, ensuring that they are up-to-date and accessible to the project team.
  • Post-Project Evaluation: Conduct post-project evaluations to assess the success of the project, identify lessons learned, and make recommendations for improvements in future projects.

Qualifications

  • Successful IT Project Coordinators possess strong organizational, communication, and problem-solving skills.
  • Have a good understanding of IT processes and technologies.
  • Often use project management software tools to facilitate their work, such as Microsoft Project, Jira, or Trello

Physical Requirements

  • Prolonged periods sitting at a desk and working on computer.
  • Occasional walking between facilities.
