Description Schedule- This is an every other weekend position from 3p-11p
Job Summary: The Guest Services Concierge sets an excellent first impression of Messiah Lifeways and greets all visitors to Village Center with warmth, friendliness, and a helpful attitude. The concierge is an expert at communicating the organization's services, providing assistance, and connecting visitors, vendors, and prospects with the appropriate department. In addition, the Guest Services Concierge operates the telephone switchboard, assists guests to properly sign in and out of the building, monitors door access and fire system and completes administrative tasks as assigned.

Job Duties/Responsibilities: - Greets visitors and provides excellent customer service to all visitors, prospects, residents, family members, vendors, and team members
- Operates the telephone system/switchboard in a pleasant, efficient manner: transfers calls, takes messages, responds to requests for information
- Monitors door access security and fire systems for alarms, and follows through with proper procedures as necessary.
- Stays informed about all aspects of Messiah Lifeways, referring visitors to the appropriate department, providing helpful information relating to all service lines, and distributing appropriate collateral materials
- Ensures a good experience for all visitors, vendors, and residents by acting as a liaison between operations, connecting each person's need with the team member who can provide a solution
- Assists visitors through the sign-in and screening process and keeps the lobby well equipped with supplies
- Ensures an excellent first impression of Messiah Lifeways for all prospects (whether over the phone or in person). Prospects include potential residents, clients, and team members
- Completes interdepartmental administrative tasks such as updating resident rosters, telephone listings, postings to the internal television station, copying, mailing, word processing, spreadsheets, and other tasks as assigned
- Operates the postage meter, copier, folding machine, fax machine, and other office equipment
- Supports operation of the mail room by keeping it clean and organized, and assisting team members with shared office equipment
- Communicates with other concierges to relay important information between shifts and buildings
- Responsible to receive and sign for deliveries of packages for residents and staff as appropriate
- Dispenses keys and fobs as appropriate
- Properly uses and cares for supplies and equipment in a cost effective manner
- Utilizes safety devices and follows safety precautions
- Follows emergency procedures and responds rapidly and appropriately to emergencies ensuring the safety of the residents and team members
- Follows proper procedures and promotes safe work practices in order to maintain a safe working environment
- Works cooperatively and productively with others, including residents, families, and other employees
- Confidentiality regarding resident information must be maintained in strict confidence, as well as other information pertaining to the business of Messiah Lifeways
- Responsible for finding replacement if unable to work scheduled shift(s)
- Attends department meetings and trainings
- Trains new Guest Services team members as requested
Qualifications Required Skills/Abilities: - Outstanding communication and interpersonal skills, personal integrity and the ability to present Messiah Lifeways in a positive, professional, and engaging manner
- Must possess the ability to work under pressure and with interruptions
- Must possess a pleasant telephone etiquette and the ability to accommodate guests in a pleasant manner
- Demonstrates computer proficiency and the ability to complete administrative tasks
Education/Experience: - High School diploma or equivalent is required
- Previous receptionist training or similar experience is required
- Computer proficiency is required
