Are you a detail-oriented professional with a proactive mindset and a knack for organization? If so, we invite you to join our client's team as an Executive Assistant , where you will play a pivotal role in supporting 2 Managing Directors across a dynamic and diverse portfolio of companies.


About the Role

This in-office position, based in Tampa, FL, offers an exciting opportunity to be part of a thriving investment firm with billions in assets under management. As an Executive Assistant, you will provide high-level support across various industries, including real estate development, financial services, construction management, and more. Your contributions will help drive operational excellence across our growing team of over 50 professionals.


Key Responsibilities

In this role, you will:

  • Serve as a primary point of contact for internal and external stakeholders.
  • Manage executive calendars, emails, and correspondence with precision and discretion.
  • Coordinate travel arrangements and manage expense reporting.
  • Facilitate executive meetings by preparing and distributing materials.
  • Oversee document management, including drafting, obtaining signatures, and ensuring proper filing of critical documents.
  • Assist with compliance-related reporting and submissions.
  • Handle clerical tasks such as drafting professional correspondence and processing capital call requests.
  • Contribute to operational improvements by suggesting new ideas and processes.


What We’re Looking For

To excel in this position, you should have:

  • At least 5 years of experience supporting C-Suite executives.
  • Proficiency in Microsoft Office and a proven ability to quickly adapt to new software.
  • Experience with legal documents particularly experience in document preparation, contract management, and attention to detail in legal documentation is advantageous.
  • Experience with or exposure to property development is advantageous.
  • Experience with or exposure to banking and commercial loans is advantageous.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
  • Exceptional communication skills with the ability to analyze and present information concisely.
  • A high degree of emotional intelligence, critical thinking, and initiative.
  • The ability to work independently while maintaining confidentiality and professionalism.
  • Physical capability to lift up to 40 lbs. and occasionally travel locally.
