Position Summary

Benchmark Utility Services is seeking a highly skilled and experienced Executive Assistant to provide comprehensive support to our President and COO in managing our rapidly growing organization. This critical role requires exceptional organizational abilities, excellent communication skills, and a proactive approach to anticipating and addressing the needs of our Executive Team.

The Executive Assistant may also assist other members of the Senior Management in such duties as may be assigned or delegated to meet the broader needs of management and office. In doing so, the Executive Assistant is required to solve complex administrative problems independently and with good judgment, as well as perform tasks that are diverse and advanced.

Roles and Responsibilities:

•          Provide executive-level support, both business and personal, to the executive team while handling all confidential personal information and sensitive company operations data with utmost discretion

•          Consistently exercise a high degree of professionalism, initiative and independence

•          Manage multiple complex calendars including coordination of all aspects of travel arrangements

•          Arrange and coordinate meetings, conferences, and events, including logistics, materials, and attendee management

•          Prioritize and manage multiple tasks and conflicting priorities, handling matters expeditiously and following through on projects to successful completion, often with deadline pressures

•          Assist in timely management of all communication (both written and oral) for and on behalf of the executive team

•          Independently compose and proofread high-quality correspondence, reports, presentations, and other documents

•          Create and administer organized electronic and physical filing structures to promote optimal record-keeping and information accessibility for executive functions

•          Serve as the primary liaison for communication between the executive team and various internal team members and external contacts, ensuring clear and timely communication, follow-up, and resolution of inquiries or requests

•          Exercise sound judgment and problem-solving skills to independently resolve complex administrative issues

•          Collaborate with cross-functional teams and departments to streamline processes and improve operational efficiency in connection with the directives and priorities of the executive team

•          Serve as a creative and reliable resource for information

•          Meet and greet clients and visitors, prepare agendas, attend meetings and draft and distribute meeting minutes

•          Oversee and coordinate administrative office functions along with providing auxiliary/backup support to other administrative personnel

•          Perform other incidental duties to support the senior management team, including general clerical tasks

Qualifications

•          Bachelor's degree in business administration, Communications, or a related field, or equivalent professional experience

•          Minimum of 3 years of experience as an Executive Assistant or in a similar high-level administrative role

•          Proficiency in Microsoft Office programs: Excel, Word, PowerPoint and Outlook with the ability to type 50 wpm

•          Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment

•          Excellent verbal and written communication skills, with a professional demeanor and strong interpersonal abilities

•          Proven ability to handle confidential information with utmost discretion and integrity

•          Proactive problem-solving skills and the ability to work independently with minimal supervision

•          Knowledge of office procedures, protocols, and best practices

•          Proficient research, supervisory, and communicative skills

•          Strong command of English grammar, spelling, vocabulary, and composition rules
