We are a growing business and litigation law firm with approximately 180 attorneys in the Mid-Atlantic region. Our team's dedication to excellence has established us as a leader in the legal industry. We are currently seeking a highly skilled and experienced Receptionist to support our Richmond Office.
Job Summary:
The Receptionist is responsible for providing a wide variety of services to all legal and non-legal staff and visitors, ensuring smooth operations and excellent customer service. This role encompasses traditional receptionist duties as well as hostess and catering responsibilities. The ideal candidate will create a warm and welcoming atmosphere while managing calls, directing visitors, and supporting event setups and catering needs.
Key Responsibilities :
Receptionist Duties:
- Open reception promptly at 8:30 a.m.
- Accurately, courteously, and professionally respond to and direct all calls coming through the switchboard.
- Greet all visitors professionally and courteously; promptly direct them to the appropriate attorney or staff member.
- Maintain an accurate conference room reservation log.
- Accurately and promptly call in hand-deliveries made by courier services.
- Report maintenance/service calls to building management.
- Perform various other duties as assigned.
Catering Duties:
- Set up conference rooms as needed according to the conference room log.
- Thoroughly clean conference rooms after meetings, including proper handling of leftover food.
- Ensure conference rooms are neat, orderly, and adequately stocked with office supplies, mugs, glasses, paper goods, and utensils when not in use.
- Check the dishwasher throughout the day, putting away clean dishes and running wash cycles as needed.
- Order food and beverages for meetings and events as required.
- Monitor and update the meeting calendar to ensure accurate scheduling and preparation.
Skills and Abilities:
- Entry to mid-level knowledge of e-mail and Microsoft Word, with an aptitude for learning other office-related software.
- Excellent communication skills.
- Ability to liaise verbally and in writing between clients, visitors, vendors and staff.
- Ability and willingness to work cooperatively and professionally with co-workers and the Office Administrator.
- Flexibility in work schedule, including availability to work overtime as needed.
Education and Experience:
- High school diploma or equivalent.
- Two or more years of work experience in a similar role.
