Job Description

We are seeking a highly organized and detail-oriented Lead Associate - Records to serve as a Legal Matter Mobility Specialist . The ideal candidate will have a solid background in legal records management, strong project management skills, and the ability to navigate complex legal matter transfers effectively. This role is integral to ensuring the seamless coordination of legal matter transfers while maintaining compliance and protecting the interests of the firm and its clients.


Essential Job Functions:


Legal Records Background

  • Understand the core functions of the records department and its interactions with Forrest staff and firm leadership.
  • Apply legal recordkeeping principles and best practices.
  • Identify and resolve potential issues related to records transfers in accordance with established processes.


Legal Matter Coordination

  • Manage the transfer of legal matters between law firms, attorneys, and internal stakeholders, adhering to documented policies and procedures.
  • Assess the feasibility, scope, and timeline of transfers while obtaining necessary approvals.
  • Align transfer processes with the firm's legal strategy and objectives.
  • Prepare, review, and oversee documents and contracts for legal matter mobility.
  • Ensure compliance with local, state, and federal regulations.
  • Safeguard the firm's and clients' rights and interests during the transfer process.


Internal Collaboration

  • Collaborate with internal departments such as IT, information governance management, onboarding/offboarding teams, and Forrest leadership.
  • Provide technical and logistical support for file and data transfers.
  • Conduct risk assessments and develop mitigation strategies for legal matter transfers.


External Partnerships & Stakeholder Management

  • Build and maintain strong relationships with stakeholders, including general counsel, IT leads, Forrest personnel, and records technology vendors.
  • Comply with reporting and authorization protocols.
  • Address and resolve complaints or claims related to the transfer of legal matters.


Project Management

  • Track and report progress on legal matter mobility projects.
  • Maintain meticulous documentation of records transfers.
  • Monitor quality and performance of legal services and evaluate client satisfaction.
  • Report on outcomes and results of significant records transfers.


Process Enhancement & Best Practices

  • Identify and implement improvements in legal matter mobility processes.
  • Develop and update relevant policies and procedures.
  • Provide training and mentoring to staff and lawyers on legal matter mobility issues as needed.


Training

  • Deliver training through Cornerstone or other platforms as required.


Position Requirements:

  • Bachelor’s degree in communication, business, or a related field is preferred.
  • Minimum of 3 years of experience in records management, records creation, or legal matter mobility.
  • Expertise in legal records management frameworks, particularly records transfer processes.
  • Strong communication, negotiation, and interpersonal skills, with the ability to work with diverse stakeholders.
  • Proficiency in using RIM tools such as iManage, FileTrail, or iCompli.
  • High attention to detail and ability to manage multiple projects in a fast-paced environment.
  • Proficiency in Microsoft Office and familiarity with legal matter management software.
