Administrative Assistant at Avis Budget Group summary:

The Administrative Assistant provides comprehensive administrative support using advanced Excel and analytical skills to improve efficiency and decision-making. They are responsible for organizing schedules, managing communications, preparing reports, and supporting regional operations. This role combines traditional administrative tasks with data management and analysis, ensuring effective handling of confidential information and enhancing overall productivity.

Job Summary: 

The Administrative Assistant with advanced Excel and analytical skills provides comprehensive administrative support while utilizing advanced data analysis capabilities to enhance efficiency and decision-making. This role combines traditional administrative tasks with advanced Microsoft Excel functions to organize, analyze, and present data effectively.  This role will require a high degree of organization across various responsibilities, including communication management, scheduling, document preparation, and supporting Regional and Area operations. 

Key Responsibilities: 

  • Completes a broad variety of administrative tasks for the Regional VP and Area Office Team
  • Conduct research and gather data for special projects and departmental initiatives 
  • Track and report project progress using Excel and other tools
  • Assist in drafting budgets, forecasts, and other financial documents
  • Prepare and edit correspondence, reports, and presentations
  • Assist the local management team with a variety of reporting to include expenses
  • Manage and maintain calendars, schedule appointments, coordinate meetings and travel planning
  • Assist with expense reports for management team
  • Prepare and edit correspondence, reports, and presentations 
  • Handle incoming and outgoing communications, including emails and phone calls
  • Maintain organized filing systems, both physical and digital
  • Research, prioritizes, and follows up on incoming issues and concerns including those of a sensitive or confidential nature
  • Participate in Human Resources related compliance projects
  • Order and manage office supplies, ensuring inventory is adequately stocked 
  • Serve as the primary point of contact for office maintenance and vendor coordination
  • Greet and assist visitors, clients, and team members in a professional manner 
  • Respond to inquiries, providing accurate information or routing them appropriately 
  • Assist with operational support for customer recovery
  • Support the implementation of process improvement initiatives

Data Management & Analysis: 

  • Create and maintain advanced Excel spreadsheets for tracking and reporting purposes
  • Utilize Excel functions such as VLOOKUP, pivot tables, macros, conditional formatting, and data visualization tools
  • Analyze large datasets to identify trends, insights, and actionable recommendations
  • Prepare detailed reports and dashboards for management review

Qualifications

  • High school diploma or equivalent (required)
  • Associate or bachelor’s degree in business administration, data analytics, or a related field (preferred)
  • Proven experience as an administrative assistant or in a similar role
  • Advanced proficiency in Microsoft Excel (including pivot tables, macros, and data analysis functions)
  • Experience with data visualization tools (e.g., Power BI, Tableau) is a plus
