Since 1972, Orlando Orthopaedic Center has remained independently owned and has grown to include 24 orthopaedic specialists across multiple subspecialties, many of whom are recognized leaders amongst their peers nationwide.

We have nine Orlando Orthopaedic Center locations throughout Central Florida, plus a state-of-the-art outpatient surgery center at the heart of our downtown campus located in the trendy SoDo Shopping District just south of downtown Orlando. To provide more immediate care, we have opened several orthopaedic injury walk-in clinics located throughout Orlando and the surrounding communities.

Whether it is supporting the local Arthritis Foundation in their annual walk or providing pre-participation sports physicals to high school students, our team at Orlando Orthopaedic Center is actively making a difference throughout Central Florida.

*JOB SUMMARY: *Responsible for filling in as the Patient Care Coordinator and Patient Care Assistant as needed. When filling in as the Patient Care Coordinator, responsible for overseeing the physician’s practice and acting as liaison between physician, patient and supporting staff. Responsible for providing consistent support with regards to subspecialty Medical Clearance, On Hold and Work Comp surgery follow up. Assist with surgery scheduling, checkout and other team tasks as needed.

*EDUCATIONAL REQUIREMENTS: *
* High school diploma required
* College degree preferred

*QUALIFICATIONS AND EXPERIENCE: *
* Five plus years of work experience in a physician practice required
* At least five years of work experience in medical office administration or management preferred
* Proficient using email and word processing software
* Knowledge of practice management and electronic health record software
* Ability to perform multiple and diverse tasks simultaneously
* Neat, professional appearance
* Strong written and verbal communication skills
* Ability to handle staff and patient questions, problems, and resolve conflicts
* Comfortable performing quantitative and analytical duties
* Ability to perform well in stressful situations
* Strong customer service skills and positive attitude
* Pleasant speaking voice and demeanor

*Responsibilities include, but are not limited to, the following: *

*Surgery Scheduling Duties *
* Discuss surgery with surgical candidates, explain the surgery scheduling process and determine potential date of surgery
* Ensure operating room time is scheduled, equipment is ordered, physician assistant is booked (as needed), and all appropriate information is faxed to facility
* Maintain communication with the physician, patient, and facility at all times
* Create clearance forms as needed and assist in scheduling all appropriate pre-operative tests and blood work
* Prepare surgery packet and discuss pre-operative instructions with the patient, as directed by physician
* Counsel patient regarding their financial obligation prior to surgery, collect surgical estimates and assist with payment plans as needed
* Create pre-operative packet for the physician (ie: Office notes, Medical History, MRI reports, etc.)
* Coordinate all business and clinical paperwork prior and post-surgery, using physician-approved forms and checklists; have paperwork ready for surgeon prior to the day of surgery (i.e.: Surgical consent forms, HIPAA forms, H&P, charge slip, etc.)
* Ensure physician’s surgery schedule is booked to its maximum capacity
* Ensure insurance benefits are active and authorization was obtained prior to surgery
* Assist pre-cert team with the authorization process as needed
* Ensure all pre-operative clearances and labs are completed prior to surgery
* Ensure surgery checklist documentation is detailed, clear and up to date at all times
* Ensure surgery is entered accurately in Outlook
* Provide consistent support with regards to Medical Clearance, On Hold and Work Comp authorizations at least every 2 weeks and document surgery order appropriately
* Follow-up with patient after surgery, document the post-op call in a communication log (if applicable)
* Ensure FUDS are entered within three business days
* Ensures cancelations are properly documented and communicated with all parties involved
* Release block times within the appropriate timeframe

*General Patient Care *
* Responsible for answering all incoming patient telephone calls within the third ring; ensures action taken is documented appropriately in the patient chart
* Ensure all calls received before 4pm are returned on the same day
* Manage incoming telephone inquiries and written correspondence ensuring action taken is documented appropriately in the patient chart as needed
* Review physician schedule at least 48 hours in advance of scheduled appointment to ensure appropriate scheduling
* Ensure all peer to peers are scheduled and completed in a timely manner
* Manage physician schedule and calendar
* Effectively communicate schedule changes and physician PTO
* Travel with the physician during the workday; adhere to the requirements outlined in the Vehicle Use and Mileage Reimbursement
* Ensure dress code is properly followed while checking out patients
* Assist Clinical Assistant in greeting and escorting the patient from the waiting room to exam room as needed
* Check out patients, schedule follow-up appointments and any ancillary appointments as needed
* Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice
* Always maintain communication among the physician and team members
* Process correspondence related to the physician’s practice (i.e.: disability forms, FMLA forms, major contributing cause letters, etc.) as needed
* Answer emails and EMR messages throughout the day to assist the Team
* Ensure all faxes are indexed within 24 hours of receipt
* Communicate issues within the team to their Supervisor
* Occasionally train new employees on the Patient Care Assistant or Patient Care Coordinator role
* Remain productive during the course of the day and offer assistance during downtime
* Ensure all documentation released is logged appropriately in the ROI in patient’s chart

*General Administration *
* Adhere to the Physician Team and Clinical Uniform Policies
* Maintain detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions
* Maintain knowledge of practice protocols related to the Patient Care Teams
* Attend all regular staff meetings
* Complete all other duties as assigned by the corresponding supervisor
* Perform all other tasks requested by the physician
* Manage work load in an effort to minimize overtime hours
* Review physician schedule at least 48 hours in advance of scheduled appointment to ensure appropriate scheduling
* Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice
* Travel to any one of the company’s office locations during the course of the work day. Employee must adhere to the requirements outlined in the Vehicle Use and Mileage Reimbursement policies.

*Supervisory Responsibilities *
This job has no supervisory responsibilities.

*Typical Physical Demands *
Position requires extended sitting, some standing, bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.

Normal office environment. Employee must work well under pressure and may be required to work flexible hours.
