City Winery Events Manager in Boston, Massachusetts

Position Summary

The Event Sales Manager is responsible for soliciting private event business and driving private event revenue within their location through prospecting and fostering relationships with individuals, corporations, and private event industry cohorts. This role will provide overall support to clients for their event as the main contact for all guest inquiries and will work closely with clients about details of their event utilizing a thorough knowledge of the City Winery spaces, food, and beverage. This individual must have the ability to successfully materialize the vision of the client and exceed guest and client expectations at every opportunity while maintaining the interest of City Winery’s brand and overall business.

This position is responsible for communicating and partnering with the operations teams on the ground to ensure clients’ needs and expectations are exceeded. A successful candidate will be team-oriented, enthusiastic, and have a solid understanding of event revenue generation.

Overview of Responsibilities

  1. Creatively promote, solicit, and achieve personal and team private event sales in alignment with budgets.
  2. Develop and maintain long-lasting client relationships and positive brand impressions.
  3. Schedule and conduct site tours with prospective clients and confirmed clients to arrange and confirm details pertaining to every element of the event.
  4. Maintain correspondence and handle all details of the event with the client throughout event preparation and effectively communicate and partner with operations and culinary teams to ensure clients’ needs are met and/or exceeded.
  5. Maintain a focus on driving revenue and continuously seek “up-selling” opportunities for each event.
  6. Create and maintain organized client files and detailed Banquet Event Orders (BEOs) to be passed along to other departments (i.e. Front of House, Kitchen, etc.) to ensure smooth execution the day-of event.
  7. Participate in weekly event production meetings to communicate the BEOs to the team.
  8. Work directly with the Executive Chef, Winery Department, GM, and FOH Managers to secure event needs for execution.
  9. Collect all payments (including deposit, balance, and addendum) and correspond with the Accounting Department when necessary to facilitate and ensure receipt of payments.
  10. Oversee event set-up and introduce client/on-site contact to Front of House Manager(s) facilitating the event. Be available for questions during event set-up and execution to ensure the team has tools to exceed expectations.
  11. Establish and maintain department filing systems to ensure efficiency and organization (upcoming events, events in progress, completed events, beverage logs, etc.; archive files as appropriate).
  12. Maintain existing department resources (menus & descriptions, wine & beer lists, wine tasting notes, vendor information).
  13. Create and analyze monthly and weekly Event Department Revenue vs. Cost Report.
  14. Other duties, projects, and tasks as per business need.

Minimum Qualifications

  1. Minimum 5 years experience in event sales/management or equivalent relevant experience.
  2. Proven background in strategizing and executing on-premise events.
  3. Strong customer service skills and the ability to negotiate, influence and sell to prospective clients.
  4. Professional and effective interpersonal, leadership, and communication skills, both written and oral.
  5. Appreciation and general understanding of the music, food, and wine business.
  6. Proven revenue and budget management skills.
  7. Exceptional attention to detail and organizational skills; results-oriented.
  8. Proficiency in Microsoft Office; Word, Excel, PowerPoint, Outlook.
  9. Ability to work a flexible schedule including nights, weekends, and holidays if needed.
