Job Description:
Plays a key role in executing and streamlining our company's workflow as the link between various departments, employees, and vendors.
Responsible for maintaining an organized office and handling day-to-day administrative responsibilities.
Accountabilities:
As the Admin Coordinator, the role involves supporting coordination of the repairs and maintenance of the site facilities, including building infrastructure, services, and related maintenance for the Manufacturing Facility.
It is essential that these activities are carried out in a manner that encompasses the following:
Execution of ongoing Preventive Maintenance across the appropriate services to the site
Execution of work order-based repairs and maintenance across the site.
Utilization of a risk-based approach for safety, quality, and capability attainment.
Management of on-site workshop and FM staff and contractors.
This description reflects the key responsibilities related to coordinating maintenance activities, ensuring adherence to preventive maintenance, executing work order-based repairs and maintenance, employing a risk-based approach, managing on-site work with contractors, and providing support to various business units related to facilities and maintenance.
Specific Responsibilities of Role Holder:
Assist the Facilities Director in determining works and projects by identifying the appropriate scope for projects across the site.
Plan and control the execution of works (ie - services, general building maintenance, preventative maintenance) in conjunction with internal forms, policies, and procedures, ensuring that quality, safety, timeline, and budget requirements are met.
Identify and rectify faults encountered during works execution through the review and filing of records.
Assist the Facilities Director in managing vendors through the phases of inductions, construction, acceptance, site delivery, and installation.
Engage and manage on-site contractors for site-specific works using risk management tools, ensuring understanding of their tasks and safe execution.
Ensure that all work complies with Safety, Health, and Environment (SHE), Good Manufacturing Practice (GMP), company requirements, and applicable statutory standards.
Utilize the CMMS system to maintain appropriate record-keeping.
Adhere in a timely manner to all repairs and maintenance tasks that affect operations.
Support other business units and departments as required to ensure project targets are met with minimal impact on their operations and to maintain a safe and compliant workplace in line with GMP and SHE standards.
Provide basic training, instruction, and transfer of knowledge to contractual staff, external contractors, and site-based staff.
Estimate and order required materials.
Communicate installation details to appropriate team leaders when required
Facilitate New Hire Orientation for the site.
Education, Qualifications, Skills and Experience:
Essential:
High School Diploma and equivalent experience.
Candidate must possess excellent interpersonal, written and verbal communication skills
Strong work ethic, positive attitude, be professional, organized and detail-oriented. This is a team-oriented position that plays an integral role in facilitating processes and procedures.
Desirable:
Prior administrative experience for GMP operations
Building management experience supporting Maintenance and Facilities
Basic knowledge of procedures and compliance with good manufacturing practice & safety, health and environment requirements
