Maintenance Systems Clerk

Cad Rail has other facilities in Calgary, Lethbridge (under Caltrax banner) and has recently been selected by the ONxpress Transportation Partners association to provide all legacy fleet maintenance services for the Metrolinx rail fleet of approximately 1000 bi-level coaches and 90 locomotives. Cad rail’s delivery team will operate and maintain Metrolinx’s rail maintenance facilities in Etobicoke and Whitby, as well as in multiple overnight along with mid-day light servicing facilities located across the Metrolinx train service area.



Summary of the role:


The Maintenance Systems Clerk will be responsible for reviewing and entering data information into the documentation management system for the Metrolinx’s Legacy Fleet Maintenance operations.


This individual will collaborate with the management team, customers, suppliers, partners and involved stakeholders.


Reporting to the CMMS Specialist/Clerk Supervisor, will be responsible for ensuring the proper management of documentation for the project using the Computerized Maintenance Management System.


Contract Duration: 6 Months (with possibility of extension)


Core Accountabilities:


  • Confirm that all HSE policies, processes and procedures are being complied
  • Responsible for maintaining the accuracy of data collected and entered into the CMMS. Ensures appropriate turnaround time on all data entry
  • Proactively verifying data by using source documents
  • Monitoring and updating existing data when required
  • Able to generate reports – customized, standard and ad-hoc, as required by the business. Perform data searches
  • Process maintenance work orders and track to ensure timely completion.Ensure completed work orders are closed out in the system
  • Assist with the distribution of preventative maintenance schedule as required. Amend and track all required changes
  • Conduct training and information sessions on the CMMS program as required
  • Comply with all backup processes to ensure safety and integrity of data being stored
  • Ability to develop KPI’s and present data
  • Prepare senior management relating any potential complications
  • Work with the team to prepare and create recurrent reports that are requested by operations or higher
  • Ensuring appropriate turnaround time on all data entry
  • Reviewing and entering data information into the appropriate enterprise applications (EAM, ERP etc.)
  • Proactively verifying data through source documents
  • Monitoring and updating existing data when required
  • Retrieving data for team members upon request
  • Performing data searches
  • Complying with security backups and regular checkups to ensure the safety of the data being stored
  • Positive attitude, team player and willingness to go the extra mile
  • Comply with the company’s applicable policies and procedures as well as human resources’ guidelines



Qualifications:


  • Ability to build strong rapport with the team and unionized maintenance personnel
  • 2 to 5 years experience working in an environment with CMMS or other data entry systems and/or a related field. Rail locomotive and passenger coach experience and knowledge is an asset
  • Ability to work independently and as part of a team
  • Excellent attention to detail and understanding of grammar
  • High School, Diploma or degree relating to the field of expertise or a combination of education and work experience
  • Experience with other industries such as Aerospace, Manufacturing


Nice to have:


  • Experience working in an unionized environment
  • Experience working in the rail industry with a comprehensive knowledge of rail equipment
