Job Overview
The Property Assistant plays a crucial role in supporting the property management team by ensuring smooth operations and excellent customer service. This position involves a variety of administrative tasks, including managing files, handling phone inquiries, and maintaining customer relationships. The ideal candidate will possess strong organizational skills, attention to detail, and a passion for delivering exceptional service to clients and tenants.
Duties
- Assist in managing property files and documentation to ensure accuracy and compliance.
- Handle incoming phone calls with professionalism and courtesy, addressing inquiries and directing them to the appropriate personnel.
- Support the property management team in administrative tasks, including scheduling appointments and coordinating meetings.
- Maintain customer relationship management systems to track interactions and follow-ups with tenants and prospects.
- Assist in negotiating lease agreements and renewals under the guidance of senior management.
- Provide exceptional customer service by responding to tenant requests and resolving issues promptly.
- Collaborate with sales teams to promote available properties and assist in the leasing process.
- Utilize Yardi or similar property management software for data entry, reporting, and tracking purposes.
- Other duties as assigned.
Qualifications
- Minimum 2 years experience in a similar role.
- Strong knowledge of property management principles and practices.
- Familiarity with Yardi or similar property management software is preferred.
- Must have strong multitasking and time management skills.
- Experience in preventative maintenance planning preferred.
- Tech-savvy and familiar with property management software.
- Great interpersonal skills for coordinating with contractors and communicating with tenants effectively.
- An analytical mindset to optimize costs and forecast property needs.
- Proficient phone etiquette to ensure positive communication with clients and tenants.
- Solid administrative skills, including proficiency in office software applications.
- Ability to negotiate effectively while maintaining positive relationships with stakeholders.
- Exceptional customer service skills with a focus on client satisfaction.
- Experience in sales or marketing within the real estate sector is a plus.
- Must have own reliable transportation as you may be going to other worksite locations as needed to complete tasks.
