TailWind is seeking a Project Coordinator for our fast-growing company. Hours of operations are from 6am to 7pm. (shift assigned between these hours). Once training is complete, Project Coordinators are placed in the on-call rotation to help support our clients after hours. Additional compensation is provided for being on-call and advance notice.

TailWind’s Project Coordinators are responsible for providing a high level of client satisfaction by coordinating the appropriate resources to timely and successfully implement client work requests. Work will primarily be Time and Materials work. Project Coordinators assist in execution of scheduling and procurement on quote multi-site project tickets as needed.
Essential Functions
- Primary work will be to coordinate all aspects of the Time &Material (T&M) work. Assist in execution of scheduling and procurement on quoted multi-site project tickets as needed.
- Receive and respond to client inquiries and work requests in a clear, professional, and timely manner, keeping clients informed as work progresses or issues arise. Keep internal and external team members informed on work-related activities.
- Manage check-in/check-out process of TailWind’s onsite technicians and assist technicians with scope of work and other job questions. Document details of dispatches and tasks performed in the designated TailWind systems. Calls may or may not be related to assigned work activities.
- Ensure Time & Materials (T&M) and supervised project-related requests are delivered on time, striving to exceed client expectations.
- May be assigned to assign with Project Related work orders as required,
- Identify and coordinate appropriate resources to complete assigned work.
- Place and manage orders with material suppliers, equipment rental companies and warehouse equipment requests on orders assigned to the Project Coordinator. Document details of dispatches, tasks, materials orders, equipment rentals, warehouse orders and activities within the designated Tailwind customers management system. Timely and accurate record management of supplier and vendor expenses.
- Manage receipt and storage of deliverables through document management systems as required.
- Time management and accuracy of billings
- Navigate efficiently within TailWind customer management systems.
- Manage changes in scope and identify potential issues.
- Facilitate communication between our technicians and our clients.
- Other duties as assigned.
Required Education and Experience
- Excellent communication and customer service skills
- Proficiency with Microsoft Office suite of PC tools Outlook, IM and the Internet
- Flexible – must be available for variable day time shift work and for occasional on-call shifts
- Ability to work in fast paced environment, multi-task, and meet deadlines
- Professionalism, strong work ethic, confidentiality, and commitment to integrity
- High degree of accuracy and attention to detail
- Ability to develop and maintain relationships with clients, technicians, and other team members
- Creativity and good judgment in solving complex problems
- Self-starter with proven ability to work independently and with a team
- Desire and ability to grow with the company
- Hands on Field Technician experience a plus.
