About this roleThis Executive Assistant role will provide comprehensive administrative support to multiple C-suite executives, ensuring smooth operations and enabling them to focus on strategic initiatives. This role requires exceptional organizational skills, the ability to multitask, and a strong sense of discretion and confidentiality.
Your responsibilities- Calendar Management:
- Manage complex calendars, scheduling meetings, appointments, and travel arrangements
- Coordinate with internal and external stakeholders to ensure seamless scheduling
- Communication:
- Handle correspondence, including emails, phone calls, and messages, ensuring timely and professional responses
- Draft and prepare documents, presentations, and reports as needed
- Meeting Coordination:
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
- Ensure all necessary materials and resources are available for meetings
- Travel Arrangements:
- Plan and book domestic and international travel, including flights, accommodations, and transportation
- Manage travel itineraries and ensure all necessary documents are in order
- Expense Management:
- Process and track expense reports, ensuring compliance with company policies
- Reconcile credit card statements and manage reimbursements
- Project Management:
- Assist with special projects and initiatives, providing administrative support as needed
- Track progress and ensure deadlines are met
- Office Management:
- Maintain office supplies and equipment, ensuring a well-organized and efficient workspace
- Coordinate with other departments to ensure smooth office operations
- Confidentiality:
- Handle sensitive and confidential information with the utmost discretion
- Maintain strict confidentiality regarding company and executive matters
? Is this you?- Proven experience as an Executive Assistant or similar role, preferably supporting C-suite executives
- Experience in a fast-paced, dynamic environment
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in Google Workspace and Slack
- Ability to multitask and prioritize effectively
- Strong attention to detail and accuracy
- Ability to work independently and take initiative
- Strong interpersonal skills and a customer-focused mindset
- Proactive and solution-oriented
- Ability to maintain confidentiality and handle sensitive information
