Position Summary:

The HRIS & Payroll Manager is responsible for managing Imagine's Payroll and HRIS system and ensuring that we continually optimize and develop to ensure the best service capability to the organization. The individual will lead the continuous development of our HRIS system and any applicable implementations/ system RFPs. The person will be the primary support point for business process design and configuration, self-service workflows, maintenance, data integrity and security, data analysis, and systems integration. This position is also responsible for oversight and execution of the bi-weekly payroll processes, maintaining a variety of records and information, ensuring compliance with appropriate regulations.

Essential Functions and Responsibilities:

  • Overall ownership for the ongoing design, optimization, and maintenance of the HRIS System.

  • Oversee the payroll function as direct manager for payroll in North America, successfully managing multiple payroll processing for a weekly and bi-weekly payroll schedule with all required federal, state, and local filings.

  • Processing of all payroll activities, including bi-weekly and monthly payrolls, resolving discrepancies, payroll tax fillings, W-2, garnishments, and levies.

  • Ensure up-to-date documentation of system functions, processes, and capabilities.

  • Recommend changes to business processes/workflows to improve the delivery of HR services to the organization.

  • Serve as a strong consultative partner to business and functional leaders to continuously improve service delivery.

  • Contribute to governance process, security, compliance, road mapping exercises, and cross-functional resource planning.

  • Drive the deployment of feature releases and system maintenance.

  • Evaluate system utilization, identify system modifications and enhancements.

  • Ensure the day-to-day systems support is efficiently managed with a focus on providing simplified tools for users.

  • Maintain data integrity by regularly auditing and analyzing HR data.

  • Oversee all system upgrades, integrations, and additions.

  • Design, implement and communicate HRIS related processes and controls.

  • Ensure all HRIS related systems are compliant with data protection laws.

  • Own decisions about payroll administration globally by consulting with regional HR directors and payroll providers.

  • Maintain and process required documentation and forms related to the payroll function.

  • Establish, implement, and maintain appropriate controls and processes to ensure all payroll related activities are compliant and follow state, federal or relevant local laws.

  • Responsible for the oversight of the payroll system regarding updates or changes needed to accurately track and facilitate payment calculation for activities such as termination, new hires, etc.

  • Ensure the appropriate set up and implementation of new tax jurisdictions.

  • Maintain thorough and current knowledge of all regulations and laws pertaining to payroll practices.

  • Identify areas of opportunity to improve processes, functionality, and workflow, and maximize technological capabilities to reduce manual processes.

  • Understands HR technology best practices and makes recommendations to management.


Mandatory Qualifications:

  • Bachelor's degree in human resources or related field or equivalent prior work experience
  • 5 or more years of HRIS and Payroll experience
  • 2+ years of Supervisory experience
  • Significant experience with report writing and dashboard creation


Preferred Qualifications:

  • American Payroll Association (APA) Certification
  • Experience running multiple state payrolls
  • Familiar with local and state taxation guidelines
  • Ability to work in a fast paced environment
  • Experience with HRIS Program implementations
  • Experience with Paylocity, Workday, ICMIS, and/or UKG Pro


The national pay range for this role is $90,000- $120,000 year. The pay range may be slightly lower or higher based on the geographic location. The actual pay offered may vary based upon, but not limited to: education, skills, experience, proficiency, performance, shift and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission or incentive program.
