Job Title: Senior Executive Assistant
Location: New York City, NY(Hybrid)
Duration: 8 to 12 Months
Pay Range: $45/hr to $55/hr
The Senior Executive Assistant will support the Global Head of New Activity Risk Management and the New Activity Risk Management senior leadership team by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative support. Additionally, this role will involve an element of executive project work to help the Global Head of New Activity Risk Management to manage the team’s overall portfolio of work and will also have business unit manager responsibilities. The Senior Executive Assistant will be based in New York and report to the Global Head of New Activity Risk Management.
Responsibilities:
- Directly supports a C16 level manager and generally supports the broader leadership team.
- Manages day to day calendar(s) of senior management.
- Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls.
- May prepare and review materials and correspondence for meetings.
- Assist with creation/modification of presentations, spreadsheets, and other various documents.
- Coordinates travel arrangements; prepare and distribute schedules/agendas for travel.
- Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system.
- Orders supplies and process invoices through Procure to Pay system.
- Process and follow-up on Virtual Requests.
- Assists in ad-hoc strategic projects as needed.
- Trains, coaches, or guides other administrative staff when required.
- Provides business unit manager support, such as headcount and budget tracking, approvals and reporting, contractor and consulting management (budgeting, contractual, onboarding, etc.), staffing plans and models, organizational design and metrics, location strategy, Voice of Employee management, communication management (Town Halls, website, newsletters).
Qualifications:
- Bachelor's/University degree or equivalent experience.
- Previous office administration experience preferably, but not necessarily, within a large and complex financial services or similar organization.
- Follow up skills with strong attention to detail and ability to multitask and prioritize.
- Previous project and deck preparation experience preferred.
- Highly proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook, Teams).
- Positive attitude and strong work ethic.
- Excellent organizational skills and ability to work proactively without close supervision.
- Consistently demonstrates clear and concise written and verbal communication skills.
