Job Description
Provides financial, clerical, and administrative support to ensure the efficient, timely, and accurate payment of vendors.
MAJOR DUTIES AND RESPONSIBILITIES:
Essential Duties and Responsibilities:
- Monitor email traffic and respond to inquiries within twenty-four hours.
- Date stamp all incoming payables: invoices, purchase orders, reimbursements, travel vouchers and expense reports.
- Organize all invoices and purchase orders to be matched.
- Audit invoices against purchase orders and research discrepancies.
- Enter invoices into accounting software.
- Process weekly check runs.
- Reconcile monthly vendor statements against vendor profiles and past vendor payments.
- Learn and use various computer programs and applications to; enter and maintain data; generate reports from a database or in-house accounting software for various departments.
- Maintain physical files for paid and unpaid A/P.
- Maintain up to date vendor profiles.
- Conduct periodic, monthly, quarterly and year end audits.
- Assist with closing monthly financials.
- As assigned, assist with the collection, printing, processing, and entering of monthly expense reports.
- As assigned, assist in reviewing, processing, and entering accounts receivable items; fuel receipts, fuel reports, hours reports, timecards, Microsoft Excel worksheets, Microsoft Word documents, manifests, invoices and cash receipts.
- As assigned, perform a variety of general office tasks to support operations and other departments functions; answering phones, receive and process mail, scanning, creating copies, distributing documents, operating and maintaining office equipment or software, troubleshooting and maintaining assorted office equipment or software.
Collateral Duties: - Perform other duties as directed by the Chief Financial Officer, Controller, or Accounting Supervisor.
Job Requirements
MINIMUM QUALIFICATIONS: Education and/or Experience: - Must be authorized to work in the U.S.
- Associate's degree (A. A.) or equivalent from a two-year college or technical school; or six months to one year of accounting related experience and/or training; or equivalent combination of education and experience.
- Knowledge of modular accounting system (example: Deltek Costpoint) experience is helpful. Additional software knowledge includes Microsoft Access Database; Internet browsers; order processing systems; payroll systems; Microsoft Excel and Microsoft Word.
Language Skills. Must be able to: - Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- To write routine reports and correspondence.
- To speak effectively before groups of customers or employees of organization.
Mathematical Skills. Must be able to: - Add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.
- Calculate and compute rate, ratio, and percentages.
- Read, calculate, and interpret time on a 24-hour clock basis.
Work Environment. Must be able to: - Handle confidential and sensitive information.
- Execute discretion and independent judgment.
- Work independently and to collaborate with a team.
Physical Demands. Must be able to: - Stand, walk, sit; use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk or hear and taste or smell.
- Occasionally lift and/or move up to 35 pounds.
- Communicate on the telephone.
