General Comments 1- 30-50 emails come in a day- have to be in the inbox hourly/all day. Need to be able to scan for critical email indicators (past due, on hold, etc.) and then handle and answer those emails. 2- Prepayments that need to be paid for vendors- Utilize smart sheet- log and then it notifies key stakeholders. Manage the incoming requests via smartsheet. Will say urgent (must be done today), or prepayment request. 3- On hold vendors- mass notification comes in- if a vendor notifies they are on hold, AP logs it in smartsheet. Someone else in the org may get the notification- want to get the vendor off hold. Some vendor interaction- defraying the situation- if we get the check cut asap and send you a copy of the check does that get us off hold? Triage and problem solve. Work with the internal Ap person asap to start working it internally, while this person works on the vendor outreach. If we haven't heard in a couple hours, running quarterback with the AP person. 4- Expense reports- once approved for internal employees- AP entry of the expense report. 5- Non- PO invoices from AP folder- coding the vendor bills. Accuracy and attention to detail. Does everything match, is the copy of the bill uploaded.
