Job Summary:
The Payroll Specialist is responsible for managing all aspects of payroll processing to ensure employees are paid accurately and on time. This role involves maintaining payroll records, calculating wages, and complying with federal, state, and local regulations. The Payroll Specialist will work closely with HR and finance departments to support overall payroll and compensation functions.
Key Responsibilities:
    • Prepare and process bi-weekly/monthly payroll for all employees, ensuring accurate and timely payment.
    • Calculate wages, overtime, deductions, bonuses, and other pay components.
    • Ensure compliance with federal, state, and local payroll laws and regulations.
    • Maintain accurate payroll records and employee data, including new hires, terminations, and changes in pay rates.
    • Update and maintain employee payroll files and records.
    • Ensure confidentiality and security of payroll information.
    • Prepare and submit payroll tax reports and filings in compliance with regulatory requirements.
    • Manage payroll deductions and ensure proper withholding for taxes, benefits, and other deductions.
    • Respond to payroll-related inquiries from employees and external agencies.
    • Generate payroll reports for internal use and external audits.
    • Reconcile payroll accounts and resolve any discrepancies.
    • Assist with year-end payroll tasks, including W-2 and 1099 preparation and distribution
    • Utilize payroll software to process payroll and maintain employee information.
    • Stay updated on payroll system updates and enhancements.
    • Troubleshoot and resolve payroll system issues as needed.
    • Address and resolve employee payroll inquiries and issues in a timely and professional manner.
    • Provide guidance and support to employees regarding payroll policies and procedures.
    • Conduct payroll orientation for new employees
Qualifications:
  • Education:
    • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • Experience:
    • Minimum of 2-3 years of experience in payroll processing or related field.
    • Experience with payroll software and systems (e.g., ADP, Paychex, or similar).
