Summary: At Harcros Chemicals Inc., an employee-owned company with a rich legacy in specialty chemical manufacturing and distribution, we're continuously expanding. With 2 manufacturing plants and 27 distribution facilities across 20 states, we're seeking a dedicated Customer Service Rep/Branch Liaison professional to join our team to assist with opportunities. Reporting to the Office Manager, this role will be involved in facilitating, coordinating, and processing branch stock orders and direct customer shipments. Collaborating with the Memphis team, you will efficiently manage stock levels and production planning to meet branch requirements. You will handle material or merchandise orders receive via email, phone, fax, or in-person from customers or company employees.
Primary Responsibilities & Duties: - Answer phone calls, address inquiries, and route calls to relevant departments.
- Manage correspondence, file invoices, and shipping documents in response to branch needs, and provide backup support to the Customer Service team as necessary.
- Demonstrate proficiency in Microsoft Word and Excel, with the ability to quickly learn additional software, including the Harcros operating system.
- Ensure timely communication and readiness of branch shipments; in case of delays, work with the Memphis team to resolve issues and update the ordering branch as needed.
- Enter production orders and complete billing functions for branch orders to ensure prompt stock relief and invoicing for direct shipments to branch customers.
- Schedule deliveries, route trucks, and keep branch personnel and customers informed about shipping dates, potential delays, and other relevant information while ensuring compliance with customer specifications.
- Collaborate with production, sales, shipping, warehouse, or carrier personnel to expedite or track missing or delayed shipments.
- Check inventory levels, place orders for out-of-stock items, and verify the arrival of new inventory.
- Prepare invoices and shipping documents, issue credit memos, and manage customer payments. Process vendor invoices and freight billings, maintain customer price books, and quote prices to customers.
- Enter data, generate shipping paperwork, and verify customer credit. Ensure order accuracy and attach SDS information as required. Set up monthly blanket orders as necessary.
- Conduct limited laboratory testing as required, following approved test methods.
- Perform other duties as assigned by the immediate supervisor.
- Other duties may be assigned.
Education and/or Experience: - High school Diploma or General Education Degree
- 1-3 years related experience and/or training
- CRM experience preferred.
- And/or equivalent combination of education and experience
The Required Skills We Are Looking For: - Proficient in writing routine reports and correspondence, and effective communication skills for addressing groups of customers or employees.
- Ability to read and interpret safety rules, operating instructions, and procedure manuals
- Proficient in calculating figures and amounts, such as discounts and percentages, and applying basic algebra.
- Demonstrated ability to effectively use Office 365 applications
