Contract Administrator – Remote Mine Site


Our Client a gold mining company located near Timmins Ontario is seeking an experienced contract administrator to join their team. This is a remote mine camp setting with travel to site being required for 4 x 12 hour shifts and the following week working from home for 5 x 8 hour shifts and rotating in this schedule for the duration of the contract. Note that this contract is for 6 months with a high likelihood of renewal for a multi-year term as the project needs.


The Site Contract Administrator is responsible for analyzing and revising contracts for the purchase or sale of goods and services such as materials, equipment, suppliers or products. This role requires positive communication skills to negotiate new and existing contracts and to establish approval for contract change orders.


Site Contract Administrator Responsibilities:

Contribute to the contractual approach and contractual strategy with contract agent/Administrator;

Examining, analyzing and revising contracts that involve the purchase or sale of goods and services such as equipment, materials, supplies, or products;

Review of drawings, specifications and contracts to ensure that appropriate equipment, materials and subcontractor services are ordered or purchased;

Management of contract work relating to contracts;

Do trend analysis associated to contract;

Establishment or negotiation of contractual conditions for contract change;

Conduct site weekly meetings with contractors and issue meeting minutes;

Monitoring of delivery schedules, work progress and communicate with customers and suppliers to solve problems;

Collaborate with Engineering Lead, Project Leads, Construction Superintendent, Engineers, and others to ensure project objectives are met;

Contractual change control relating to cost and time; coordinates contractual change management (Change notice, change orders)

Manages change log

Payment certification and Hold back management

Claims administration and negotiation;

Maintain various contract registers and as per project specific instructions;

Drive the deliverables and inputs as required from the quantity surveyors;

Ensure all completed timesheets are filed and tracked

Contract close-out (Hold back release, certificate of substantial completion, certificate of final completion, Contract close-out, deficiency list close out)

Qualifications/Experience/Education required to succeed in this role:


College Diploma or Certificate in Administration;

Minimum 5 years experience in a contract administration role preferably in a mining heavy industrial environment

Previous experience in an administrative function, preferably in a mining or industrial environment;

Experience in document control and data management;

Possess attention to detail;

Experience in contractor management, and project related documentation requirements;

Excellent working knowledge of all Microsoft Office Suite applications especially Outlook, Excel, Word & PowerPoint.
